Addison Group is partnering with a well-established organization in the healthcare sector to hire a dedicated Executive Assistant to support C-level leadership. This is a full-time, onsite role based in Chicago, ideal for a professional who thrives in a fast-paced environment and has experience working closely with executive teams and boards.

Job Description:

We’re seeking a highly organized and experienced Executive Assistant to support both the CEO and CFO of our client’s organization. The right candidate will be detail-oriented, comfortable handling confidential information, and able to anticipate the needs of busy executives. Prior experience supporting a Board of Directors and proficiency in shorthand note-taking is required for this role.

Key Responsibilities:

  • Manage and coordinate executive calendars, ensuring all meetings and obligations are efficiently scheduled
  • Organize and attend board and committee meetings, capturing accurate shorthand notes and distributing polished minutes
  • Serve as a primary point of contact between executives and internal/external stakeholders
  • Draft, edit, and manage confidential communications, reports, and documents
  • Arrange travel plans and handle logistics for meetings and special events
  • Ensure timely follow-up on action items and deadlines
  • Provide ongoing administrative support, including document preparation, data entry, and filing
  • Handle sensitive information with a high level of discretion and professionalism

Qualifications:

  • Shorthand note-taking skills are required – this is a critical component of the role
  • Minimum 5 years of experience supporting C-level executives
  • Must have previous experience working directly with a Board of Directors
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Demonstrated ability to manage multiple priorities with accuracy and professionalism
  • Must be able to work onsite Monday through Friday with occasional extended hours as needed
  • Full-time, onsite role (5 days/week)
  • Must be located in or willing to commute to Chicago, IL
  • Reports directly to executive leadership
