Job Summary
Wecare Medical Specialty Group is seeking a highly organized, proactive, and discreet Remote Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced, remote environment. The Executive Assistant will be a critical partner in ensuring the efficient operation of executive functions, handling sensitive information with the utmost confidentiality, and contributing to the overall success of the leadership team.
Key Responsibilities
Administrative Support
Manage complex calendars, scheduling meetings, appointments, and travel arrangements (when applicable) for executives.
Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
Take accurate meeting minutes and track action items to ensure timely follow-up.
Draft, proofread, and edit correspondence, reports, and other documents with precision and professionalism.
Organize and maintain digital files and records, ensuring easy accessibility and confidentiality.
Communication & Coordination
Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls).
Facilitate seamless communication flow between executives and various departments, clients, and partners.
Handle confidential information with discretion and integrity.
Project & Task Management
Assist executives with special projects, research tasks, and initiatives as needed.
Track project deadlines and deliverables, proactively reminding executives of upcoming tasks.
Coordinate logistics for virtual events, conferences, and team gatherings.
Operational Efficiency
Anticipate executive needs and proactively address potential issues.
Implement and maintain efficient administrative processes and systems to optimize workflow.
Manage expense reports and process invoices in a timely manner.
General Support
Provide ad-hoc support to the executive team as required, demonstrating flexibility and a willingness to assist.
Qualifications
Education: Bachelor's degree preferred.
Experience
Minimum of 5+ years of experience as an Executive Assistant supporting C-suite executives or senior leadership, preferably within the healthcare or a related professional services industry.
Proven experience working effectively in a remote work environment.
Demonstrated ability to manage multiple priorities, meet deadlines, and work under pressure.
Skills & Competencies
Exceptional organizational and time management skills.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Microsoft Teams, Google Workspace).
Strong written and verbal communication skills with impeccable grammar and spelling.
High level of professionalism, discretion, and confidentiality.
Proactive, resourceful, and able to work independently with minimal supervision.
Problem-solving aptitude and a keen eye for detail.
Ability to adapt quickly to changing priorities and technologies.
Technical Requirements
Reliable high-speed internet connection and a dedicated, quiet home office space.
Proficiency with virtual communication platforms and remote work best practices.
Work Authorization
