Job summary

Beam Therapeutics seeks an energetic Executive Assistant to support the Chief Financial Officer and Chief Scientific Officer. This role requires proactive communication, high professionalism, and coordination across corporate partners and teams.

Responsibilities include managing complex calendars, travel, meetings, and materials; handling confidential information; and collaborating with administrative staff to meet department needs swiftly in a fast-paced biotech environment.

Qualifications

  • BS degree required; 5–8 years related experience preferred.
  • Strong organizational, written and verbal communication skills.
  • Experience supporting executive management in pharma/biotech is a plus.

Responsibilities

  • Manage executive calendars with attention to time zones and priorities.
  • Coordinate meetings, invitations, rooms, AV, catering and notes.
  • Oversee expense processes and travel arrangements for executives.
  • Prepare materials for meetings, seminars and executive reviews.
  • Protect highly confidential information and liaise with stakeholders.

Position Overview:

Beam is seeking an energetic, experienced dynamic team player and to provide Executive Administrative support to the Chief Financial Officer and Chief Scientific Officer. The right candidate will show flexibility, detail-orientation and a proactive communication style to ensure the needs of the executives are met. An exceedingly high level of professionalism will be expected, as there will be frequent interactions with Corporate Partners and team members.

Primary Responsibilities:
  • Heavy focus on calendar management, including but not limited to daily/weekly/monthly meetings and multi-level meetings with many attendees/locations/time zones.
  • Coordinate logistics for meetings, including managing invitation and attendees, room reservations, agenda, a/v; catering, facilities set up if required.
  • Expense management through system.
  • Travel for executives.
  • Create purchase order requests.
  • Prepare materials for meetings, seminars, presentations, and special projects.
  • Appropriately manage information of a highly confidential and critical nature.
  • Work closely with other administrative staff to make sure department needs are met.
  • Perform other duties and ad hoc projects as assigned.
Required Skills & Qualifications:
  • BS and/or 5-8 years related experience required.
  • Knowledge of MS Office applications including MS PowerPoint, Excel and Word required.
  • Must have excellent organizational, verbal and written communication skills.
  • This candidate must be a proven team player and a detail-oriented individual who possesses strong organizational skills with the ability to prioritize workload.
  • He/she must be able to exercise good judgment; work independently but also take instruction; communicate effectively and professionally; meet deadlines and work within a variety of situations in a growing, fast-paced organization.
  • Experience supporting an executive management team within a pharmaceutical/biotech organization a plus.
