Job summary

The Austin Stone Community Church seeks an Executive Assistant to support the Executive Pastor of Congregational Ministries by handling a range of administrative and operational tasks, managing calendars, emails, and travel, and maintaining confidential files.

This role requires discretion, professionalism, and the ability to coordinate with Creative, Congregational, and Central teams, participate in hiring processes, and staff events while upholding church culture and Doctrines.

Qualifications

  • High School Diploma or equivalent, Bachelor's degree, preferred.
  • 3 years experience in an administrative support role or as a ministry associate.
  • Strong knowledge of Austin Stone programs and ministries.
  • Social media experience a plus but not required.

Responsibilities

  • Provide executive administrative support related to ministry operations.
  • Exercise discretion and independent judgment with respect to matters of significance.
  • Manage email, Slack communications, and calendars.
  • Arrange travel and accommodations.
  • Create and maintain files and databases.
  • Capture and collate meeting decisions and action items.
  • Coordinate Central Team-wide and leadership team events, staff celebrations, and related activities in support of Pine Cove.
  • Participate in hiring decisions and onboarding/offboarding for Central Team staff and residents.
  • Careful handling of confidential information associated with the Executive Pastor and Central Team.
  • Provide Central Team administrative support, including team care, calendar management, and staff communications.
  • Provide care coordination for the Central Team.
  • Support special projects as assigned.
  • Attend, serve, and lead at required events and staff meetings.

As part of the Congregational Ministries Division at The Austin Stone Community Church, the Executive Assistant (EA) will be responsible for performing a variety of administrative and operational duties in support of the projects and initiatives of the Executive Pastor of Congregational Ministries. The EA must maintain complete confidentiality, assist as needed in crisis situations, and serve as a kind and resourceful assistant to interface with the Creative, Congregational, and Central teams. The EA will report directly to the Executive Pastor of Congregational Ministries.

Solves problems with creativity and minimal input. Able to successfully develop new and better ways to work and promote a continuous improvement mentality.
