Position Description

The Executive and Operations Manager is a new position. This role will work with both WomenCount and EWA as well as the local Electing Women Bay Area group to provide a robust foundation of operations, human resources, and executive support. This position will play a key role in overseeing our shared operational functions, ensuring that our internal systems, processes, and practices align with our values and mission-driven work.

As the Executive and Operations Manager, you will provide a high level of executive and operational support to the Executive Director and Chief of Staff while managing administrative operations, human resources functions, and employee engagement initiatives. You will ensure that we are tracking toward operational effectiveness, providing a robust foundation of support for efficient collaboration within our team.

This is an exciting opportunity for someone who loves systems and processes to help shape the internal infrastructure of a growing, mission-driven team—while contributing to meaningful progress in women’s political leadership.

We’re especially excited to hear from candidates who are newer to Human Resources and/or political advocacy and are eager to grow in either (or both) areas. The ideal candidate is a detail-oriented generalist who brings strong organizational skills and the ability to provide high-level administrative support to both executives and staff.

Responsibilities

Human Resources (HR) and Operations Management (50%)

  • Implement and maintain, and in some cases contribute to the design of, HR policies and procedures for both WomenCount and EWA.
  • Co-design, implement, and maintain operational processes and systems for both WomenCount and EWA.
  • Manage employee payroll and benefits programs, including benefits platform and vendors.
  • Manage employee recruitment, onboarding, and offboarding processes, in collaboration with people managers.
  • Provide general HR support to WomenCount and EWA leadership and staff.
  • Execute the interns program with guidance and support from the Chief of Staff.

Administrative Support and Executive Assistance (50%)

  • Provide administrative support to WomenCount and EWA executives, ensuring key deadlines and action items are tracked and met.
  • Attend and support board meetings through scheduling, preparing and sending pre-reads, taking notes, and more.
  • Assist with executive communications and calendar management.
  • Liaise between staff members, external stakeholders, and executive leaders to ensure important information is relayed and issues are flagged and resolved.
  • Manage travel logistics for executives.
  • Provide project management support to executives, including materials preparation (memos, powerpoints, etc.) and other supportive tasks.
  • Support logistics and administration for priority events, through tasks such as booking catering, creating nametags, reserving hotel blocks, and more.
  • Support logistics, data tracking, and event planning for EWBA, including membership, candidate fundraising, stewardship activities, event catering and set-up, and other related administrative duties.

  • 2+ years of experience in human resources in a generalist capacity including comfort utilizing a PEO
  • A demonstrated track record of setting up and managing operational systems and processes
  • Prior experience working with and supporting executive leadership
  • Ability to manage sensitive information with discretion
  • Ability to create clear processes and systems and apply a strong attention to detail throughout your work
  • Strong interpersonal communication and relational management skills, with the ability to effectively liaise with internal and external stakeholders
  • Excellent writing, organizational, and time management skills
  • Ability to think proactively take initiative, and be a self-starter in a fast-paced environment
  • Ability to be available some nights and an occasional weekend for in-person candidate events
  • Demonstrated commitment to working collaboratively within an inclusive, collegial team environment that values joy, shared purpose, and meaningful impact—especially in advancing women’s leadership.
  • Interest in the political landscape and a passion for supporting women in leadership; prior experience in politics or with politically affiliated organizations is welcome but not required.

  • Executive Support: Executives are well-supported with proactive calendar management, communications, and travel logistics, allowing them to focus on high-level strategic work.
  • Stakeholder Management: Internal and external stakeholders experience clear and timely communication, with issues flagged and resolved promptly to maintain smooth operations.
  • Event Planning and Logistics: National and EWBA events are well-executed in a timely, professional manner, with attendee lists, nametags, materials, set-up, and other details reflected at the highest levels.
  • Systems Orientation: Organizational processes, project management tools, and administrative operations run efficiently, laying a strong foundation for the team to focus on programmatic impact.
  • Discretion & Judgment: Confidential and sensitive information is handled with the utmost discretion, demonstrating trust and professionalism across all interactions.

Benefits and Compensation

This is a full-time position with a salary range of $65,000-$80,000 based on experience. Benefits include health insurance, paid holidays, and vacation. We also look forward to offering additional benefits, including mileage reimbursement for the Bay Area, in the future as our organizations grow.

At WomenCount and EWA, we get things done while valuing each other’s time and work/life balance. We typically work flexible hours in both remote and hybrid environments and teammates should expect to work west coast hours.
