Description and Requirements

Lenovo is seeking an experienced Executive Administrative Partner to support an executive in a global organization. This is a highly visible role for someone who can operate as a trusted strategic partner, helping the executive prioritize time, anticipate business needs, and keep a complex global organization operating smoothly and effectively.

The successful candidate will bring strong judgment, business acumen, confidence, and a highly proactive mindset. This individual will serve as a strong gatekeeper of the executive's time, understanding business priorities, organizational hierarchy, key stakeholders, and operating rhythms to make thoughtful decisions about where and how the executive engages.

The role requires expertise in complex, multi-time-zone calendar management, extensive international travel, executive meetings and events, expense management, and organizational coordination. Just as importantly, this person must be able to think several steps ahead, identify potential issues before they arise, and independently drive solutions.

The ideal candidate will view the calendar not simply as a scheduling tool, but as a reflection of the executive's priorities. They will proactively assess competing demands, anticipate dependencies and major business cycles, and recommend adjustments to ensure the executive is focused on the highest-impact priorities.

This position operates on a hybrid schedule and requires onsite presence three days per week.

Key Responsibilities
  • Serve as a trusted strategic partner and gatekeeper to the Vice President, confidently prioritizing the executive's time and appropriately challenging or redirecting requests based on business priorities.
  • Strategically manage a highly complex calendar across multiple geographies and time zones, anticipating conflicts, dependencies, business cycles, preparation needs, and downstream organizational impact.
  • Ensure the executive remains on track to meet key commitments, deadlines, and priorities.
  • Operate proactively and anticipate needs, identifying missing information, potential conflicts, or logistical challenges and resolving them before they reach the executive.
  • Develop a strong understanding of the organization's business, operating rhythm, leadership structure, and key stakeholders in order to make sound, independent judgment calls.
  • Use visibility into the executive's calendar and priorities to identify trends in how time is being allocated and proactively recommend adjustments when appropriate.
  • Coordinate meetings and events with senior-level internal and external stakeholders.
  • Maintain and drive the organization's business management cadence (BMS).
  • Drive Executive Staff Meetings from end to end, including agenda development, deck consolidation, meeting preparation, action-item tracking, and follow-up.
  • Execute and coordinate high-visibility organizational activities, including Lenovo Executive Committee meetings, senior leadership meetings, All Hands calls, Town Halls, Board of Director calls, and other executive events.
  • Manage complex domestic and international travel end to end, including multi-leg itineraries, accommodations, ground transportation, onsite logistics, contingency planning, and adherence to travel and expense policies.
  • Proactively monitor flight and ground transportation arrangements to help ensure smooth executive travel.
  • Maintain travel and expense budget reports.
  • Review and approve expense reports on behalf of the executive and reconcile expense reports against statements.
  • Generate, consolidate, and format executive-level presentations and materials.
  • Maintain the highest level of discretion and confidentiality when handling sensitive, proprietary, or executive-level information.
  • Support extended leadership team members with administrative needs as appropriate.
  • Provide mentorship and support to administrative professionals, including peer training, knowledge sharing, and team building.
  • Take ownership of organization-specific projects and priorities, operating with urgency, attention to detail, and minimal oversight.
Basic Qualifications
  • Associate's degree or 3+ years of experience supporting Director-level or above business leaders in a global environment across multiple geographies.
  • 5+ years of experience supporting a Vice President or senior executive in a complex, global organization.
  • Demonstrated experience managing highly complex executive calendars across multiple geographies and time zones.
  • Experience coordinating complex domestic and international executive travel.
  • Proficiency with Outlook, Microsoft 365, Microsoft Teams, and Zoom.
Preferred Qualifications
  • 10+ years of experience supporting Vice President-level or above executives in a global environment.
  • 10+ years of experience managing complex calendars across multiple geographies using Outlook and Microsoft 365.
  • Experience working within a multicultural, highly matrixed, cross-functional organization and partnering closely with executive leadership and Chief of Staff organizations.
  • Strong business acumen and executive presence, with the ability to understand organizational priorities and make sound decisions independently.
  • Proven ability to serve as a confident gatekeeper, balancing competing demands while protecting the executive's time and priorities.
  • Highly proactive and anticipatory, with a demonstrated ability to think several steps ahead and solve problems before escalation is required.
  • Strong judgment and the confidence to respectfully push back, challenge assumptions, and recommend alternative approaches when appropriate.
  • Exceptional organizational skills with strong attention to detail, accuracy, and follow-through.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong cross-functional collaboration and relationship-building skills.
  • Ability to independently prioritize competing demands in a fast-paced, constantly evolving environment.
  • Flexibility to accommodate global schedules, changing priorities, and complex travel requirements.
  • Positive, energetic, and solutions-oriented approach with a willingness to support the broader team.
  • Ability to quickly pivot, assess changing circumstances, and identify practical solutions.
  • A strong sense of ownership and initiative, with the desire to elevate the traditional executive assistant role into a true strategic partnership.
