Rocky Vista University College of Veterinary Medicine in Billings, MT is seeking an Administrative Assistant (Full-Time) to join the Dean's office team, providing comprehensive support to the Associate and Assistant Deans for the DVM program. This role coordinates schedules, organizes meetings and travel, manages correspondence, and maintains confidential records.

Qualifications

• Associate’s Degree from an accredited institution in a related field, or equivalent experience.
• At least one year of administrative support experience including customer service.
• Experience with Microsoft Outlook, Word, and Excel.
• Ability to handle confidential information with discretion.
• Strong written and verbal communication skills.

Responsibilities

• Support daily operations of the Office of the Associate and Assistant Deans as a member of the administrative team.
• Coordinate calendars, scheduling for the Associate and Assistant Deans including meetings and events.
• Prepare agendas, compile materials, record minutes, and follow up on actions.
• Manage correspondence and documentation; route for approval and signature.
• Arrange travel and lodging for CVM personnel and visitors.
• Provide administrative support for teaching activities and clinical initiatives.
• Provide basic technology support for software and virtual meetings.
