Position Summary

This role will be hybrid based in Raleigh, NC.

Job Summary

We are seeking an exceptional, self-motivated, and versatile Administrative Assistant to support several members of this new business’s management team. The ideal candidate will have excellent problem-solving and judgment skills, with the ability to think and plan ahead to handle multiple requests effectively. Attention to detail, the ability to meet tight deadlines, strong organizational skills, and professionalism in handling confidential information are essential. Flexibility to accommodate a work schedule based on the needs of the Grover Charitable Gaming executives is required.

Essential Job Functions
  1. Maximize executive efficiency by managing appointments, to-do lists, and calendars through Microsoft Outlook, ensuring a well-organized and productive day.
  2. Coordinate appointments, meetings, receptions, and conference calls, including booking rooms, ordering catering, disseminating materials, and collaborating with other staff.
  3. Arrange travel for domestic and international trips, including flights, ground transportation, hotels, dining, and tours.
  4. Serve as a gatekeeper for executives’ schedules and information, maintaining confidentiality and professionalism.
  5. Prepare, reconcile, and track expense reports for the executive team.
  6. Handle general office management needs.
  7. Plan and coordinate team events and offsite meetings involving the executive team.
Qualifications
Experience and Education
  • 3+ years in travel coordination, accounting, or administrative support roles.
  • Associate degree preferred.
Knowledge, Skills, and Abilities
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, SharePoint).
  • Strong planning, time management, and organizational skills.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Experience with expense reporting and travel coordination.
  • Ability to meet deadlines in a fast-paced environment.
  • Ability to build relationships with internal and external stakeholders.
  • Maintain confidentiality and act professionally.
  • Quick learner of new technologies.
  • Adaptability to changing priorities and handling interruptions.
  • Team-oriented and willing to assist where needed.
