Job description

Lift Business Resources is seeking a highly organized and proactive Executive Administrative Assistant to support executives and business owners.

This role involves managing schedules, streamlining communication, and efficiently handling administrative tasks.

The assistant will work closely with executives and business owners to support daily operations, manage sensitive information, and ensure that initiatives, goals, and projects are advancing at the designated pace.

  • 23 per hour Fully remote position Paid Time Off (PTO) Health insurance is available to employees who maintain a 30-hour workweek Responsibilities : Schedule & Calendar Management : Coordinate and manage an executive’s and / or business owner’s appointments, meetings, conferences, and travel arrangements, optimizing time and priorities.

Information Management :

  • Maintain organized files, records, and confidential information.
  • Conduct research, compile data, and prepare reports or presentations.
  • Update and manage CRM systems.

Project Coordination :

  • Monitor ongoing projects, track progress, and ensure deadlines are met.
  • Collaborate with team members to gather information and support seamless execution.

Relationship Management :

  • Build and maintain positive relationships with key stakeholders, including clients, partners, and employees.
  • Prepare meeting agendas, coordinate meetings, and take minutes as needed.

Travel & Logistics Coordination :

  • Arrange travel, including flights, accommodations, and transportation, to ensure smooth business trips for executives and / or business owners.
  • Prepare itineraries and provide necessary travel details.
  • Assist with financial tasks, including expense tracking, invoice processing, and budget monitoring.
  • Coordinate with the finance department and vendors as needed.

Meeting Support :

  • Prepare meeting materials, agendas, and presentations.
  • Attend meetings, take notes, and follow up on action items to ensure effective communication.

Task Delegation :

  • Identify tasks that can be assigned to team members or external providers.
  • Coordinate and oversee task completion to ensure accuracy and timeliness.

General Administrative Support :

  • Draft and proofread documents, handle correspondence, and assist with other tasks as needed.

Requirements :

  • Proven experience as an Executive Assistant supporting an executive and / or business owner.
  • Experience managing CRM systems.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Strong written and verbal communication skills.
  • Proficiency in virtual communication tools, project management software, and other relevant applications.
  • High level of discretion and confidentiality in handling sensitive information.
  • Strong attention to detail and problem-solving abilities.
  • Self-motivated and proactive, with the ability to work independently and meet deadlines.
