Location: St. John's University

+ We are hiring immediately for a full-time EXECUTIVE ADMINISTRATIVE ASSISTANT position.

+ Address: St. John's University - 8000 Utopia Parkway, Jamaica, NY 11439. Note: online applications accepted only.

+ Schedule: Shifts are scheduled from 8:00 AM to 5:00 PM; however, flexibility may be required before or after standard hours based on business needs.

+ Requirement: Prior executive administrator experience required.

+ Perks: Remote position, quarterly regional travel required.

+ Pay Range: $30.00 per hour to $35.00 per hour.

Job Summary

Summary: Provide support in various ways to a Company executive to enhance the Company’s effectiveness and serve Company clients and employees effectively.

Essential Duties and Responsibilities:

  1. Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  2. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  3. Attends meetings in the executive's absence and delivers and receives messages on the executive’s behalf.
  4. Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  5. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  6. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  7. Maintains customer confidence and protects operations by keeping information confidential.
  8. Prepares reports by collecting and analyzing information.
  9. Completes projects by assigning work to clerical staff; following up on results.
  10. Secures information by completing database backups.
  11. Maintains and verifies office supplies inventory.
  12. Ensures operation of equipment by completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  13. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  14. Contributes to team effort by accomplishing related results as needed.
  15. Performs other duties as assigned.
