Advertised Job Summary

Under general supervision, assists in the coordination of business management activities related to operational support for the Center for Disability Resources. This includes duties relevant to programmatic support related to grant, procurement, and facility management. Provides direct administrative support to the CDR Executive Director. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations. This position is established in support of expanded research activities.

Job Related Minimum Required Education And Experience
  • Typically holds a high school diploma or GED. Requires no prior work experience.
Preferred Qualifications
  • A bachelor’s degree and two years responsible administrative or clerical experience; or high school and six years responsible administrative or clerical experience; or equivalency.
Knowledge / Skills / Abilities
  • Excellent organizational skills and attention to detail.
  • Ability to communicate well both orally and in writing and the ability to work well with others.
  • Knowledge of Microsoft 365/Office (Word, Windows, Excel) required.
  • Expected to conduct business both lawfully and ethically by consistently adhering to compliance and privacy policies, HIPAA, procedures and regulations.
Job Duties and Responsibilities
  • Provide administrative support to staff, including serving as a point of contact for copier management, travel documentation, office and educational supplies, and routine office needs.
  • Schedule meetings, maintain electronic calendars, and prepare correspondence and memoranda for the Executive Director.
  • Serve as the department’s vehicle coordinator by managing state fleet vehicle activities, including scheduling maintenance, tracking mileage, managing gas cards, and monitoring vehicle usage and upkeep.
  • Process supply orders and approved purchases through the Procurement Shared Services Program.
  • Maintain organized office files, including grant‑related documents and reports, in accordance with established procedures.
  • Assist with preparation of training and meeting materials, manage conference room scheduling, and provide logistical support for events and daily office operations.
  • Serve as the primary key custodian, maintain office systems and records, and perform additional administrative and logistical support tasks as assigned.
  • Remain willing to work a flexible schedule to meet the needs of the department.
