University of Detroit Mercy seeks an Executive Assistant to the Vice President for Advancement and the Vice President for Mission Integration. You will provide comprehensive administrative support to senior leaders, manage calendars, prepare documents, and assist with budgets and event coordination.

The role requires experience supporting C-Suite executives, strong Excel and PowerPoint skills, confidentiality, and professional communication.

Qualifications

  • Two to five years of experience, preferably in C-Suite.
  • Experience with budgets and providing reports in Excel and related software.
  • Advanced MS Office skills including high-impact PowerPoint presentations.
  • Ability to communicate professionally in person, by phone, and in writing.
  • Excellent proofreading, planning and organizational skills.
  • Ability to handle confidential information with discretion and diplomacy.

Responsibilities

  • Provide administrative support to the Vice Presidents of University Advancement and Mission Integration.
  • Process expense reports and P-card expenditures.
  • Prepare letters, reports, and forms; manage calendars and scheduling for events.
  • Reconcile budgets, process invoices, and work with Banner.
  • Coordinate cultivation and Mission Integration events, registrations, venues, and catering.

Position Summary

Administrative support for University Advancement and Mission Integration.

Essential Duties and Responsibilities
  • Expense report process and submission
  • P-card expenditures
  • Support cultivation events, prep and registration
  • Support Mission Formation events, prep, and registration.
  • Inventory and maintenance of department office supplies.
  • Compose administrative letters, reports, forms and other documents.
  • Business Manager for both UA and MI: Reconcile and track UA and OMI budgets, process invoices for payment, work within Banner.
  • Event Coordination.
  • The Position plays a key role in supporting the Vice President of University Advancement and the Vice President for Mission Integration in the preparation of high-level documents, record keeping, and in engagement with the Board of Trustees and UDM’s Religious Sponsors.
Minimum Qualifications
Employment -

Two years to five years, preferably in C-Suite (Equivalent combination of education and employment).

  • Demonstrates extensive high-level administrative experience supporting senior level leaders
  • Experience with budgets and providing reports within Excel and other related spreadsheet / budget software

  • Program Coordinator for Mission Integration: planning and maintaining calendar of events and proactively coordinating venue, speakers, catering, invites, event set-up and consistent follow up to ensure a successful event. Collaborate with University Ministry, Representatives of Community Engagement, Solidarity and Belonging; and Marketing & Communications to ensure effective visibility.
  • Knowledgably about either Jesuit or Mercy Education Tradition (it is important that applicants demonstrate knowledge of the Mission of the University).
Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).

Regular exposure to favorable conditions such as those found in a normal office.

Anticipated Schedule

Monday to Friday 8.30 AM to 5.00 PM (This position will NOT be HYBRID, i.e., no remote options).
