Job summary

The University of Michigan’s Ross School of Business seeks an Advancement Assistant to provide comprehensive administrative support across the Office of Advancement in Ann Arbor. The role reports to the Office Manager/Executive Assistant to the Chief Advancement Officer, supporting stakeholders with calendars, reports, and travel arrangements.

This hybrid position requires three days on-site with occasional travel and after-hours work. Candidate must be authorized to work in the United States.

Qualifications

  • 3+ years of administrative, office coordination, or related experience.
  • Experience coordinating meetings, events, schedules, and logistics.
  • Intermediate to advanced proficiency in Microsoft Office and Google Suite.

Responsibilities

  • Provide administrative support to Office of Advancement, including calendar management, expense reports, meetings, and travel arrangements.
  • Plan and implement donor visits and Advancement events with occasional early mornings, evenings, or weekends.
  • Coordinate workload with the team and ensure coverage during high activity periods.
  • Greet visitors, manage inquiries, and deliver excellent donor/alumni service.
  • Prepare agendas, minutes, and follow-up items; create materials for meetings and donor briefings.
  • Maintain filing and information-management systems on shared drives and Google Drive.
  • Use DART and Business Objects to confirm data, run reports, and update donor information.

Job Summary

The Michigan Ross Office of Advancement builds and sustains meaningful relationships with the school's external community, engaging alumni, donors, and partners to support the school's highest priorities. The office mobilizes private, philanthropic support and creates opportunities for stakeholders to remain involved in the life of the Ross School through thoughtfully designed programs, events, and experiences.

The Advancement Assistant will provide comprehensive administrative support across the Office of Advancement. As a member of the administrative support team, you will work flexibly with leaders and colleagues throughout the office, balances changing priorities, and helps ensure coverage and excellent service. You will report to the Office Manager/Executive Assistant to the Chief Advancement Officer.

This hybrid position is based in Ann Arbor, MI, with an expectation of three days per week on-site. The role may require occasional travel on campus, on-call responsibilities, and work outside standard business hours, including early mornings, evenings, or weekends. This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of hire and maintain that authorization throughout employment.

Responsibilities*

Administrative Support (80%)

  • Provide administrative support to members of the Office of Advancement, including calendar management, expense reports, meeting coordination and minutes, financial processes, email and telephone correspondence, and report preparation, and travel arrangements.
  • Help plan and implement special events, such as donor visits.
  • Coordinate and balance workload with other administrative team members, provide back-up coverage, and help ensure support during absences and periods of high activity.
  • Provide office reception coverage including managing inbound phone and email inquiries, greet and assist visitors, evaluate and respond to inquiries about Advancement and Ross programs.
  • Provide excellent customer service to donors, alumni, volunteers, visitors, faculty, students, staff, and other internal and external partners.
  • Schedule appointments and meetings; coordinate logistics and prepare agendas, materials, reports, and follow-up items.
  • Prepare for meetings, capture and distribute minutes, track action items, and follow up with responsible parties.
  • Help plan, set up, and implement donor visits, meetings, and Advancement events, including occasional early-morning, evening, or weekend activities.
  • Create itineraries, donor briefings, presentations, correspondence, and other materials in support of Advancement activities.
  • Create and maintain organized filing and information-management systems on shared drives and Google Drive.

Other Responsibilities (20%)

  • Use the University's donor database (DART) and data warehouse (Business Objects) to confirm constituent information, run reports, and modify, update, and upload alumni and donor data while maintaining data integrity.
  • Process gift checks and other financial transactions accurately and in accordance with University policies and procedures.
  • Help with small-scale fundraising campaigns led by Ross School of Business constituents
Required Qualifications*
  • High school diploma or equivalent, or an equivalent combination of education and relevant experience.
  • 3+ years of administrative, office coordination, customer service, or related experience in providing support to multiple stakeholders.
  • Experience coordinating meetings, events, schedules, correspondence, and related logistics.
  • Intermediate to advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite

Additional Information

Salary Information:

The salary offer range for this position is $46,100 - $54,200. Salary offers are determined based on several factors, including a candidate's experience, skills, and qualifications, along with internal equity considerations. It is not common for new hires to be placed at the top of the range.
