The Town of Fairfield seeks a seasonal Event Assistant to support the preparation, execution and close-out of events at The Pavilions at Penfield Beach, including Penfield and Jacky Durrell Pavilion. The role focuses on event operations, staff supervision, setup and breakdown, on-site oversight, and delivering excellent customer service.

  • Oversee facility operations during events to ensure proper use of the pavilion.
  • Monitor event activities for compliance with Town policies and rental agreements.
  • Collaborate on Pavilion programs, activities, events, and tours.
  • Assist with general operation and maintenance of the Pavilion and grounds.
  • Provide on-site customer service, greet clients, answer questions, and give tours.

Job description

This class is accountable for assisting with the preparation, execution and close-out of special events at The Pavilions at Penfield Beach, including our Penfield and Jacky Durrell Pavilion. The Event Manager supports event operations through staff supervision, facility setup and breakdown, on-site oversight during events, customer service and enforcement of Parks & Recreation policies to ensure a safe, welcoming, and well-maintained environment for all patrons. This is a seasonal position with work primarily occurring during evenings, weekends and peak event periods.

Supervision Received:

Receives administrative direction from Event Manager, Recreation Coordinators, the Director of Parks & Recreation, or their designee.

Supervision Exercised:

May supervise or lead temporary or lower-level staff as assigned.

  • Assists with onsite event support, including setup and breakdown of tables, chairs and event spaces in accordance with event layouts and direction provided Event Host.
  • Oversees facility operations during events to ensure proper use of the pavilion and surrounding areas.
  • Monitors event activities to ensure compliance with Town of Fairfield Parks & Recreation rules, pavilion policies, and rental agreement requirements.
  • Collaborates with others regarding Pavilion programs, activities, events, curriculum, and tours.
  • Assists with general operation and maintenance of the Pavilion and grounds to ensure a safe and secure place.
  • Delivers on-site customer service by greeting clients, responding to questions, addressing concerns of Pavilion patrons and provides tours, brochures and information to all potential clients.
  • Assists with managing inventory, ordering supplies and maintaining inventory control levels.
  • Performs clean-up and closing procedures as required.
  • Liaisons with catering, decorators, event vendors and facilities/maintenance staff.
  • Evaluates conditions for safety and initiates emergency action plan as required.
  • Provides written reports of accidents or incidents in a timely manner.
  • Performs all related tasks as required or as directed.

Minimum Qualifications:
  • Minimum 18 years of age at time of employment.
  • High School Diploma or equivalent.
  • Ability to lift up to 50 pounds unassisted.
  • Availability to work nights, weekends, and holidays as required by the event schedule.

Temporary or Seasonal Position is Not Eligible for Town of Fairfield benefits. The Temporary employee will not be used to displace, eliminate, or cause the termination or layoff of any Bargaining Unit employee. The temporary employees will not be hired to replace or supplant a full-time bargaining unit position.
