Job summary

Exxat, Inc. in Warren, New Jersey is seeking an Events & Community Coordinator to own the conference participation lifecycle and manage community engagement. You will coordinate logistics, budgeting, shipping, and on-site execution with a focus on delivering flawless events.

You will partner with Sales and Marketing, lead Cohere planning, and occasionally travel to events to ensure success. A strong organizational focus and hands-on mindset are essential.

Qualifications

• 1+ year of experience in conference logistics, event coordination, or trade show management.
• Proficiency with Cvent (or comparable event management platform) for registration, event websites, and attendee management.
• Exceptional organizational skills and strong timelines/process discipline.
• Strong project management abilities to juggle multiple events at different stages.

Responsibilities

• Own the full lifecycle of conference participation: research, registration, booth selection, sponsorship logistics, shipping, setup, on-site execution, and post-event reporting.
• Manage event budgets and track expenses including venue costs and Wi-Fi/AV fees.
• Coordinate shipping logistics for booth materials, collateral, swag, and equipment while controlling costs.
• Build relationships with venue contacts, general service contractors, and freight carriers.
• Lead planning for Exxat’s annual user conference (Cohere) and coordinate logistics for partner events.
