Primary Services is excited to announce the Event Coordinator role for a large, globally recognized organization with a complex commercial operation. This position supports a high-performing sales and technical division by organizing and executing internal conferences, regional meetings, and customer-facing events.

The Event Coordinator ensures every detail—from venue coordination to technical setup—is executed flawlessly so leadership and sales professionals can focus on strategy and revenue growth. This is a fast-paced, corporate environment that values precision, initiative, and professionalism.

Responsibilities
  • Coordinate quarterly, annual, and regional sales meetings across multiple locations.
  • Secure and manage conference rooms, hotel venues, and offsite event spaces.
  • Develop and distribute meeting agendas, calendar invitations, and attendee tracking reports.
  • Arrange catering services, including breakfasts, lunches, dinners, and reception events.
  • Ensure dietary restrictions and executive preferences are accurately accommodated.
  • Organize presentation materials, meeting packets, and branded collateral.
  • Oversee audiovisual setup, including projectors, microphones, screens, and hybrid meeting platforms.
  • Support virtual and hybrid event logistics using enterprise collaboration tools.
  • Assist with customer seminars, technical demonstrations, and hospitality arrangements.
  • Coordinate travel logistics in alignment with corporate travel and expense policies.
  • Maintain detailed event calendars, budgets, and documentation records.
  • Track event expenses and ensure adherence to internal financial controls.
Qualifications
  • 5+ years of corporate meeting, conference, or event planning experience.
  • Experience supporting B2B environments such as manufacturing, chemicals, energy, or industrial sectors preferred.
  • Proficiency in Microsoft Outlook, Teams, PowerPoint, and Excel.
  • Experience managing vendor contracts, catering agreements, and venue negotiations.
  • Familiarity with corporate travel booking systems and expense management processes.
  • Demonstrated experience supporting senior sales leaders and technical teams.
  • Strong budget tracking and reporting capabilities.
  • Ability to manage multiple concurrent events with shifting priorities.
