Job summary

Guggenheim Partners is seeking an Events Assistant in New York to support the events team in planning, production, and execution of internal and external events. The role involves creating collateral, researching venues, and providing on-site assistance to ensure high-quality events.

Qualifications

  • 0–2 years of professional experience
  • Bachelor’s Degree in Hospitality, Marketing, Communications, Business Administration, or related field
  • Proficient in Microsoft Word, PowerPoint, Excel
  • Must be available to work some nights to staff events
  • High degree of professionalism
  • Basic knowledge of restaurants and venues in New York, Los Angeles, and Chicago

Responsibilities

  • Assist with planning and execution of meetings, conferences, dinners, and employee events
  • On-site at events: manage registration/check-in, take event photos, coordinate with venue managers and vendors, distribute collateral, and assist with setup/teardown
  • Some events may require later evenings onsite
  • Organize and purchase supplies for events as needed
  • Manage attendee lists and create/name tags for events
  • Support various administrative projects and day-to-day tasks
  • Conduct venue research and outreach; maintain venue/vendor tracker
  • Handle payment requests, track invoices, and manage event expenses
  • Support event reporting and maintain the events calendar and folders
  • Provide administrative support to the Events team as needed

Position Summary

The Events Assistant will be responsible for supporting the Events team in planning, production, and execution of high‑quality internal and external events. The event assistant assists with creating event collateral, venue research, onsite event assistance, and other duties as needed. This is an entry‑level opportunity for someone who is highly organized, eager to learn, enjoys working behind the scenes, and takes pride in producing accurate, high‑quality work.

Essential Job Functions
  • Assist with planning and execution of meetings, conferences, dinners, and employee events
  • Assist on‑site at fast‑paced events – onsite duties may include:
    • Manage event registration and check‑in
    • Take event photos for marketing materials
    • Converse with venue managers and vendors to ensure event is running smoothly
    • Distribute event collateral and gifts
    • Help with set‑up, tear‑down, and coordination onsite
  • Some events will take place after normal working hours and will require later evenings onsite
  • Organize and purchase supplies for events as needed
  • Manage attendee lists and create, print, and prepare name tags for events
  • Take on a variety of administrative projects and day‑to‑day tasks
  • Conduct venue research and outreach following event inquiries, maintain venue/vendor tracker
  • Manage payment requests, track invoices, and expense management for events
  • Support with event reporting and maintain the events calendar and folders
  • Provide administrative support to the Events team as needed

Basic Qualifications

Work Location

Currently, this role is expected to be in the New York office at least 4 days per week.

Salary

Annual base salary between $50,000–$65,000. The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
