  • Organize supplies and ensure necessary materials are ready for each event.
  • Assist the team with arrival and venue preparation.
  • Help manage attendee flow and provide directions or information.
  • Check event areas throughout the day and identify anything needing attention.
  • Relay schedule changes and other updates to the appropriate team members.
  • Keep event materials organized and available throughout the event.
  • Assist with coordination between different areas of an event.
  • Respond to routine attendee questions and requests.
  • Keep track of supplies, materials, and event documentation.
  • Record attendance or other event information when required.
  • Help return event spaces and materials to order after each event.
  • Complete post-event paperwork and administrative tasks.
  • Provide additional support based on the needs of each event.

Job Description

Our team is looking for an Event Assistant to help manage the moving pieces behind a busy schedule of in-person events and activities. This is a hands‑on position for someone who likes staying organized, working with people, and being involved in the practical details that keep an event running on schedule.

You’ll work alongside the event team before and during events, helping with everything from advance preparation and venue coordination to attendee needs and last‑minute adjustments on event day. Because no two events are exactly the same, the day‑to‑day workload will vary depending on the schedule.

The Role

Before an event, you may be confirming details, organizing supplies, preparing event documents, checking schedules, or making sure the team has everything needed for the day.

Once on‑site, you’ll help keep activities moving according to plan. This can include directing attendees, answering questions, checking event areas, communicating updates to team members, replenishing materials, and handling small logistical issues as they come up.

After events, you’ll help organize materials, update records, collect relevant information, and make sure outstanding items are completed.
