Job summary

Discovery Green Conservancy in Houston seeks an Event and Services Manager to coordinate all event logistics, revenue services, and vendor coordination while protecting the park’s landscape and aesthetic. You will support sales teams, conduct park walkthroughs for licensees, and ensure on-site execution of events and load-in/load-out operations.

The role requires meticulous data entry, strong communication, teamwork, and the ability to manage multiple projects and timelines in a dynamic outdoor

Qualifications

  • Data entry and analysis - attention to detail; ability to use data to report and analyze.
  • Communication - excellent verbal and written skills, including proofreading.
  • Teamwork - able to work both independently and on a team with a wide variety of people with different backgrounds, styles and skills.
  • Problem solving - flexible; able to deal with frequent changes, delays, or unexpected events; decisive, using sound judgment and logical reasoning, often under pressure; and accountable for actions.
  • Planning and organizing - Proficient time management skills; to manage multiple projects and work assignments at once.
  • Self-management - stress management skills, maintaining a healthy lifestyle.
  • Technology - Excellent computer skills using Microsoft Windows or Apple, including Outlook, Word, and Excel, and proficiency in internet research.
  • Must be able to lift over 50 pounds and willing to work outside when needed.

Responsibilities

  • Plan calendar entries, data entry, reporting, and contracts.
  • Post revenue events and logistics data to event records.
  • Coordinate with vendors and licensees on event setup and timelines.
  • Prepare and manage contracts for venue licenses, sampling, vendors, and birthdays.
  • Collect payment-related information and ensure COI, W9, ACH details.
  • Coordinate and communicate logistics for revenue and services, including onsite presence for load-in/load-out.
  • Assist with data entry and reporting for Revenue and Services.
  • Other duties as assigned.

Description
Job Type: Full time, Exempt
Reports to: Revenue and Services Director

The Event and Services Manager (ESM) is responsible for ensuring that all event logistics and services within the park are coordinated and executed seamlessly while maintaining the landscape, beauty, and overall integrity of the park. This position plays a key role in supporting successful events, creating a positive experience for clients and guests, and protecting the park’s natural and aesthetic environment.

The Event and Services Manager will conduct park walkthroughs for potential licensees, showcase the park’s capabilities and opportunities, and provide support to the sales teams of our stakeholders throughout the event-planning and licensing process.

Essential Duties and Responsibilities:
  • Planning Pod calendar including data entry, reporting, and contracts:
  • Post all revenue events to calendar in Planning Pod.
  • Collect and post logistics, financial information and attendance to event records
  • Communicate deadlines for payment and documents
  • Inform Operations team Project Manager with event setup details
  • Review site maps and timelines submitted by licensees
  • Schedule all outside vendors needed for revenue producing events
  • Assist in creating reports for revenue and services as needed, including
  • Pre-season projections and post-season recaps
  • Venue License forecasting
  • Budget and interim reporting
  • Coordinate and communicate logistics for Revenue and Services:
  • Post all logistical information to event database record
  • Be the onsite contact and execute any load in/ROS/load out as needed.
  • Prepare, send and manage contracts for venue licenses, sampling, vendors and birthdays
  • Collect contractor payment information including W9, ACH - Collect COI for vendors and licensees
  • Review and submit contractor invoices to appropriate department; post data to event record
  • Manage all requested services, including scheduling, fencing, cleaning, security; following up with submitting invoices.
  • Assist with data entry and reporting for Revenue and Services
  • Other duties as assigned; all Conservancy employees work together as a team and frequently assist each other in every department when needed.
