Job summary

Wizard Studios North Inc. is seeking an organized, proactive coordinator to support sales and production teams in managing client communications, quotes, and project timelines.

You will work closely with the Director of Sales and Executive Producers, coordinate intake calls, gather initial scope and logistics, prepare proposals, and ensure on-time delivery of materials while delivering exceptional customer service.

Qualifications

• 1-3 years of experience in events, an agency setting, or hospitality.
• Excellent oral and written communication skills.
• Professional interpersonal skills with punctuality and reliability.
• Ability to travel when required.
• Familiarity with CRM and project management tools.

Responsibilities

• Respond quickly to customer requests and convert opportunities into sales.
• Provide admin support: meeting agendas, client calls, deadlines, and sales materials.
• Collaborate with Director of Sales, Executive Producers, and cross-department teams.
• Deliver exemplary customer service to increase sales and client satisfaction.
• Coordinate intake calls, gather initial scope, and schedule meetings.
• Assist with quotes, contracts, and project timelines, ensuring deadlines are met.
• Support marketing initiatives such as gathering photos and social media assets.
