Order office and cleaning supplies as needed so the office stays stocked as needed.

Order internal meals when requested.

What Success Looks Like:

Nothing in the quote is missed. Every service in the confirmed quote has labor, equipment or a vendor assigned well before load-in, with no last-minute surprises.

The crew arrived informed and cared for. Crew Call emails go out on time and are accurate, and travel, per diems, meals and check-in/out run smoothly. Freelancers and labor companies want to work with Wizard again.

The systems match reality. Asana shows the true status of every action item. FLEX holds current POs, quotes, vendor details and crew availability. The PM never has to ask where something stands.

Production Books are complete and trusted. Pull sheets, timelines, plots, floor plans, venue contacts and parking details are gathered, checked and in the hands of the team before show day.

Vendor relationships are strong and cost-effective. Sub-rentals are sourced on time and at good rates, paperwork and COIs are in order, and new vendors are vetted and added to the database.

Every job is closed out cleanly. Within an agreed window after the event, the recap is written, all vendor invoices are received, the vendor database is updated and images are filed in Drive.

The PMs have more capacity. Project Managers can focus on clients and creative decisions because the Coordinator handles the details reliably and flags problems early.

QUALIFICATIONS:

Minimum 5 years of Event Production experience with a proven track record of success managing crew, organizing production schedules, and operating equipment.

Able to work effectively under pressure, self-direct and solve problems with creative solutions, and interact professionally with other departments and venue personnel.
