  • Develop and maintain project plans, timelines, deliverables, deadlines, and status updates across multiple concurrent events.
  • Coordinate event materials, including production, ordering, shipping, delivery, setup, and installation.
  • Manage event‑related details such as signage, sponsorship assets, displays, collateral, and other onsite materials.
  • Provide onsite event support as needed, including troubleshooting issues and ensuring successful execution.
  • Support events and sponsorships, including major industry conferences and events.
  • Proactively identify risks, dependencies, and outstanding decisions and drive them toward resolution.
  • Serve as the primary liaison with the broader events team and other internal and external partners.
  • Work autonomously and make sound decisions without requiring extensive day‑to‑day direction.
2027 Event Planning & Pipeline Development
  • Help develop and maintain the event pipeline and calendar.
  • Research relevant industry events, conferences, sponsorship opportunities, and earned speaking opportunities.
  • Identify key contacts, submission deadlines, sponsorship packages, contracting requirements, and participation options.
  • Gather information and recommendations to help stakeholders determine which events and sponsorships they should pursue.
  • Coordinate contracting and other administrative steps associated with event participation.
  • Track critical deadlines and ensure decisions and deliverables remain on schedule.
Speaker Submissions & Communications
  • Coordinate written speaker submissions, abstracts, and proposals for earned speaking opportunities and industry events.
  • Partner with subject matter experts and internal stakeholders to gather information and develop compelling submissions.
  • Draft, edit, and refine event‑related content and communications.
  • Support additional project‑management or communications initiatives as needed based on team priorities and workload.
Qualifications

  • Strong project‑management skills with the ability to manage multiple events, deadlines, stakeholders, and deliverables simultaneously.
  • Experience independently driving projects from planning through execution.

  • Excellent stakeholder‑management and relationship‑building skills.
  • Strong written and verbal communication skills.
  • Experience writing or coordinating speaker submissions, abstracts, proposals, or similar content is highly desirable.
  • Highly organized and detail‑oriented, with the ability to anticipate needs and proactively move work forward.
  • Comfortable working remotely and collaborating across multiple teams and functions.
  • Ability and willingness to travel and provide onsite event support when needed.
Preferred Qualifications
  • Experience supporting healthcare, health benefits, payer, employer‑health, or related industry events.
  • Familiarity with healthcare conferences, sponsorships, and industry organizations.
  • Previous experience within a large, complex corporate environment.
  • Previous experience with the client organization or its internal processes is a plus but is not required.
