The Job

This is a senior‑level role with a dedicated focus on project management for a high‑profile, global flagship event series. The ideal candidate will be an experienced event professional with exceptional project management, strategic thinking, cross‑functional coordination, and strong communication skills. This individual will serve as a right hand to the Executive Producer and play a central role in ensuring workstream alignment, cross‑team communication, and overall operational excellence throughout the lifecycle of the event.

This role requires flexibility, critical thinking, the ability to work across multiple workstreams, and a collaborative approach to team and client management. A successful candidate will be proactive, organized, and capable of navigating complex stakeholder environments while driving clarity, accountability, and progress.

Major Accountabilities:
  • Serve as a central point of contact for planning team coordination and communication across multiple stakeholder groups
  • Manage the rhythm of business (ROB), including meeting cadence, agenda planning, milestone tracking, and workback schedules
  • Prepare and deliver internal status updates, executive reports, and strategic recommendations to the Executive Producer and stakeholders
  • Manage meeting documentation and communication strategy including action item tracking, meeting notes, FAQs, and milestone communications
  • Act as Executive Producer proxy in meetings, as needed, to represent key decisions, risks, and next steps
  • Collaborate with stakeholders, business owners, and workstream leads to ensure shared understanding of goals, deliverables, and alignment across planning and execution phases
  • Develop and maintain a centralized planning hub, including document organization and access permissions within Microsoft Teams
  • Lead site visit coordination and strategy workshops with key stakeholders
  • Partner with the Executive Producer on onsite staffing strategy, communication plans, and escalation paths
  • Support post‑event debrief strategy and documentation, including identifying wins, risks, and recommendations
  • Coordinate across various workstream meetings (content, logistics, budget, MarCom, production, partner, etc.) to support project cohesion and strategic execution
  • Provide strategic recommendations to optimize planning processes and team operations
  • Maintain comprehensive project documentation: contact sheets, ROB/milestone slides, communication plans, overview decks, and debrief documents
  • Foster a strong partnership with the Logistics Lead to align responsibilities, optimize workflows, and drive operational excellence across event execution.
  • Exhibits mastery of end‑to‑end event and logistics management—from strategy and budget oversight to vendor coordination, documentation, and onsite execution—for events of varying scale, format, and complexity.
  • Leverage new technologies, strategies and innovation to deliver value and unique experiences to our customers
  • Mentor teammates to elevate individual impact and team performance
  • Represent Dynamic Events with the utmost professionalism providing quality customer service while maintaining strong ethical work standards
  • Manage client relationships and display account management skills to grow existing accounts to support and contribute to business goals
  • Oversees complex projects and events with precision, aligning goals, resources, and timelines to deliver high‑impact outcomes
  • Builds trusted partnerships across teams, ensuring alignment and seamless execution
  • Sets and maintains a high standard for quality of work and is accountable for ensuring all deliverables and workstreams meet this standard

Qualifications:
  • 6–8+ years of event project management experience in a fast‑paced, agency or corporate environment
  • Proven ability to lead large, complex event programs with multiple stakeholders and workstreams
  • Demonstrated success in building cross‑functional relationships and influencing outcomes
  • Exceptional written and verbal communication skills
  • Strong client‑facing and executive communication experience
  • Strong track record of mentoring and developing individuals and teams
  • Comfortable managing ambiguity and making sound, data‑informed decisions
  • Advanced knowledge of project planning tools and Microsoft Office suite (Teams, SharePoint, Excel, PPT)
  • High proficiency in tracking project risks, interdependencies, and documentation
  • Experience supporting flagship enterprise‑scale events (Microsoft or similar preferred)
