Job summary

Constellation Culinary Group in Miami, FL seeks an experienced Event Producer to collaborate with the Director of Catering, Sales Managers, and General Manager to execute private events from planning through post-event analysis.

You will manage on-site operations, staffing, budgeting, and vendor relationships while ensuring client expectations are exceeded. The role requires strong communication and leadership during fast-paced events.

Qualifications

• Bachelor’s Degree preferred
• 2+ years of experience in event planning, sales, or event management
• Ability to manage events from conception to execution, multitask and manage multiple events concurrently
• Professional and Effective client communication with all levels of event stakeholders: C – suite to internal ops departments
• Excellent time management skills to meet deadlines, manage priorities and adapt to last-minute changes.
• Hardworking nature, hands-on approach, and a passion for the business
• Ability to quickly pivot and remain calm in a fast paced environment
• Able to work a flexible schedule to accommodate business levels.
• Nice-to-haves: Bachelor’s Degree in Management

Responsibilities

• Oversee the logistics of the event from operations through breakdown.
• Lead pre-event briefings and ensure staffing, food presentation, service, and timing meet standards.
• Create supervisor packets and all event paperwork for on-site staff.
• Liaise with third party vendors to manage rentals or services related to the event.
• Develop BEOs and post-event handoffs and follow-ups.
• Serve as the primary client, venue and vendor point of contact during setup and breakdown.
• Coordinate with sales, culinary, warehouse and captains to communicate stakeholders’ needs.
• Identify risks and develop contingency plans to mitigate them.
• Coordinate with Staffing on positions, schedules and coverage; brief captains and monitor labor hours.
• Communicate effectively with stakeholders to ensure smooth execution.
• Coordinate with various vendors to ensure all equipment is available and operational.
• Ensure inventory control and post-event analysis for improvements.
