Job summary

Oak Grove Racing, Gaming & Hotel is seeking an Event Assistant to support the Group Sales and Event Specialist and the Manager, Sales & Race Operations. You will help coordinate proposals, contracts, and event details across hotel departments to ensure seamless events.

The role requires strong communication, sales office software skills, and the ability to manage multiple events including site tours and client inquiries, with some evening and weekend work.

• High level of professionalism under pressure.
• Proficiency in Microsoft Office including Word, Excel, PowerPoint.
• Ability to learn Delphi FDC and manage the program at property level as System Administrator.
• Support the Sales Team in the absence of the Sr Sales Manager.
• Completion of projects by determined deadlines.
• Outstanding guest relations and customer service skills.
• Ability to work nights, weekends & holidays as client demands.
• Lift up to 30 lbs.

Responsibilities

• Assist with the Delphi FDC sales automation system as Administrator for sales, events, and financial teams.
• Maintain and update Delphi FDC documents including menus, pricing, reports, banquet checks, proposals, and contracts.
• Receive inquiry calls from potential clients and provide verbal/written responses.
• Respond to requests from Oak Grove Racing, Gaming & Hotel website.
• Prepare turnover for the Banquet Manager and Event Supervisor.
• Prepare group resumes for events requiring multiple departments.
• Coordinate property site tours and pre-con meetings with live video overviews.
• Communicate and recruit department personnel to meet client needs during site tours.
• Attend BEO Meetings and Weekly Event Meetings.
• Maintain third-party rental/service relationships for ancillary needs.
• Assist with booking small group programs in Eagle/Tango Rooms.
