Job summary

MJH Life Sciences is seeking an Associate Event Manager to plan, coordinate, and execute in-person events with a hands-on logistics focus and vendor leadership. You will balance budgeting, on-site execution, and post-event reporting under guidance from a senior Events team member.

Qualifications

• 1 to 3 years of professional experience in event planning, hospitality, or project coordination.
• Bachelor's degree required.
• Excellent written and verbal communication with vendors, clients, and internal teams.
• Strong organizational and multitasking abilities to manage multiple events and tight deadlines.
• Familiarity with AI-powered productivity tools and project mgmt platforms is a plus.

Responsibilities

• Collaborate on venue sourcing and manage venue logistics; assist with contract negotiations and documentation.
• Track portions of event budgets, invoices, and vendor costs.
• Lead the day-to-day for select vendors (catering, shipping, AV) and ensure timely services.
• Manage hotel room blocks, monitor pickups, and adjust allocations as needed.
• Coordinate AV and speaker requirements; ensure presentations and equipment readiness.
• Develop menus with catering teams and manage attendee dietary needs.
• Oversee packing, shipping, and delivery of event materials and signage.
• Maintain timelines and deliverables in project tools; flag risks early.
• Use AI tools to speed up research, drafting, logistics docs, and post-event reporting.
