Job Title: Event/Conference Consultant

Location: Springfield, MA

Duration: 7 Months on W2

Job Description:

*** is hiring for the role of an Event/Conference Consultant. You will partner with the team lead to provide consistent planning across all events by consulting with internal teams to execute small to medium meetings and events. Responsibilities include aligning with stakeholder visions within budget, sourcing vendors, managing registration websites, leading stakeholder meetings, maintaining project plans, managing food and beverage, developing event specifications, communicating with stakeholders, executing events on-site, and post-event reconciliation. This role is part of the Event and Conference Management Team.

The Team

***’s Event and Conference Management team oversees all *** sponsored conferences, events, and meetings from discovery to execution, focusing on streamlining processes, reducing costs, and seamless event delivery.

The Impact

Responsibilities include but are not limited to:

  1. Managing *** business programs and events, including consulting with partners, planning projects, managing budgets, sourcing venues, contract management, coordinating travel, developing registration websites and mobile apps, and managing food and beverage.
  2. Developing program specifications and communicating with vendors to ensure clear execution needs.
  3. Leading planning meetings with stakeholders.
  4. Ensuring timely follow-up with stakeholders regarding project deadlines.
  5. Executing on-site event activities, including pre-con meetings, vendor setup, registration management, and staffing.
  6. Collaborating regularly with the ECM Director, vendors, and team members.
  7. Ordering and managing on-site supplies like badges, signage, and office materials.
  8. Managing registration website and mobile app development, including quality checks before launch.
  9. Promoting a team mentality and collaborating across departments.
  10. Adapting to new areas or special projects as needed.
Qualifications:
  • 7+ years experience in meeting, event, or conference planning.
  • Strong budgeting and communication skills.
  • Experience supporting executive leadership.
  • Tech-savvy with quick adaptability to new tools and platforms.
  • Excellent organizational skills with ability to plan and execute against timelines.
  • Advanced proficiency in PowerPoint.
  • Proven written and verbal communication skills.
