Job summary

Harbinger Motors is seeking an Order Processing Admin to support our Distribution & Sales Planning team in California. You will process and enter customer and dealer orders, coordinate templated communications, and ensure all order paperwork is complete and properly filed to keep the pipeline moving and records audit-ready.

The role requires 1+ year of experience in order processing or admin support, sharp attention to detail, and proficiency with Google Workspace and MS Office.

Qualifications

• 1+ years of experience in order processing, sales/administrative support, or a similar operations role.
• Strong attention to detail with structured data entry processes.
• Proficiency with Google Workspace and/or Microsoft Office.
• Clear, professional written communication skills.
• Ability to manage repetitive, high-volume tasks with accuracy.

Responsibilities

• Process and enter incoming orders into internal systems accurately and in a timely manner.
• Review order details for completeness and accuracy prior to entry; flag and resolve discrepancies.
• Coordinate order-related email communications using templates with dealers, upfitters, and internal teams.
• Track order status and follow up to keep orders moving through the pipeline.
• Ensure all paperwork (contracts, confirmations, documentation) is complete and filed.
• Maintain organized digital filing systems in line with recordkeeping standards.
• Identify data gaps and escalate missing documentation to the appropriate team.
• Support ad hoc reporting or data pulls related to order status.
