Description

Department: Clinical Operations

Reports To: Director of Quality (VP of Clinical Operations in interim)

Location: Remote

FLSA Status: Exempt Full-time

Schedule: Monday to Friday

This role is 100% remote.

Summary

Position Overview: The Enrollment Quality Manager is responsible for maintaining and improving Lumata Health’s Enrollment Quality Program. This includes overseeing audits, training, process documentation, and ensuring compliance. The role involves working cross-functionally to identify areas for improvement and implementing solutions to enhance accuracy, consistency, and efficiency in enrollment workflows. The position reports to the Director of Quality, or the VP of Clinical Operations until the position is filled.

Essential Functions
Auditing & Oversight
  • Monitor auditing tools and reports to ensure completion of monthly call and process audits.
  • Perform audits on enrollment calls, documentation, and workflows for both new and experienced Enrollment Specialists.
  • Analyze audit results and trends, and share insights with Enrollment Managers, Director of Enrollment, and VP of Clinical Operations.
  • Provide coaching and feedback to improve performance and adherence to standards.
Training & Development
  • Collaborate on designing and improving onboarding and ongoing training programs.
  • Maintain training content within Lumata’s Learning Management System (Trainual).
  • Review and update training materials quarterly to reflect current processes and findings.
Process Development & Documentation
  • Identify opportunities for process improvement based on audit results and team feedback.
  • Develop and maintain process documentation and SOPs.
  • Participate in projects related to program and process development.
Compliance & Program Management
  • Ensure compliance with HIPAA and internal privacy standards.
  • Coordinate with Clinical Operations and Quality teams to align initiatives.
  • Support company-wide HIPAA training and maintain secure, compliant practices.
Requirements
Required Skills
  • Success in quality assurance, process improvement, or training in healthcare or contact centers.
  • Strong analytical skills and data interpretation.
  • Experience with content development and managing learning systems or training programs.
  • Attention to detail and ability to derive insights from data.
  • Organized and adaptable in a fast-paced environment.
  • Excellent communication skills.
Education and Experience
  • Bachelor’s degree or equivalent experience preferred.
  • 5+ years in healthcare operations, quality assurance, or enrollment coordination.
  • Knowledge of HIPAA regulations required.
  • Experience with CRM, call auditing systems, or LMS tools (e.g., Salesforce, Trainual) preferred.
Physical Requirements
  • Home office or HIPAA-compliant workspace required.
  • Prolonged sitting and working on a computer.
  • Ability to hear, speak, and participate in virtual meetings.
Work Environment

Requires a dedicated remote workspace with reliable internet (minimum 50 Mbps download, 10 Mbps upload). The workspace should be private, low-noise, and HIPAA compliant. Camera use during virtual meetings is expected.
