Job summary

The Children's Home Society of New Jersey is seeking an Enrollment Intake Coordinator in Trenton, NJ. The role focuses on processing Head Start/Early Head Start applications, maintaining family communications, and supporting ERSEA workflows to ensure timely enrollment and referrals.

Responsibilities include coordinating documentation, recruitment events, data entry in ChildPlus/DataSay, and collaboration with ERSEA staff to reach program goals. Evening/weekend availability is required.

Qualifications

• ERSEA experience working with a Head Start or Early Head Start program.
• Excellent communication and interpersonal skills.
• Formal ERSEA training.
• ERSEA Certification or Family Service Credential.
• Ability to communicate with diverse families and communities.
• Understanding of Head Start Standards.
• Proficient in ChildPlus and Excel; ability to read data.
• Strong organizational, customer service, documentation, and computer skills.
• Flexible schedule to work evenings and weekends.

Responsibilities

• Complete Head Start/ Early Head Start applications and provide required documents.
• Follow up on incomplete applications and enrollment requirements.
• Monitor applications and maintain timely family communication.
• Return calls and respond to questions about applications and services.
• Assist families navigating the enrollment process with confidentiality.
• Conduct recruitment and community outreach events and canvassing.
• Maintain an active applicant pool and waitlist; support vacancies.
• Assist with tracking, recruitment, waitlist, enrollment follow-up and documentation.
• Review referrals and assign to staff; monitor unassigned referrals.
• Maintain accurate data in ChildPlus, DataSay, and other systems.
• Identify family barriers and refer to appropriate resources.
• Coordinate annual recruitment calendar and staff recruitment assignments.
