Job summary

Trump International Hotel and Tower Chicago is seeking an experienced procurement and facilities support professional. The role focuses on researching suppliers, establishing accounts, processing POs, receiving and paying invoices, and coordinating with accounting to ensure timely vendor payments.

You will manage inventory, handle parts for ongoing hotel projects, and assist engineering leadership on special projects.

Qualifications

Responsibilities

• Research companies that sell products, establish account, open credit.
• Coordinate with accounting to ensure vendor information and credit is processed in a timely manner.
• Establish quotes and negotiate pricing on products.
• Populate POs in online system, place orders, receive, close invoices and distribute accordingly.
• Ensure monthly vendor bills are received, coded, approved, and processed.
• Review and reconcile vendor statements.
• Research parts needed for future projects.
• Monitor inventory and submit orders based on annual budget.
• Receive packages daily from loading dock.
• Inventory management of TVs, warranties, repairs, and defective units.
• Manage miscellaneous inventory to prevent downtime in hotel, kitchens, and spa.
• Restock office supplies.
• Assist Kitchen Engineer with researching parts and scheduling service.
• Occasionally schedule service, repairs, and new installs.
• Coordinate room blocking with front desk and monitor engineer inspections.
• Assist Director of Engineering, Chief Engineer, and Assistant Chief Engineers with special projects and requests.
• Assist Director of Finance with projects upon request.

Qualifications and Physical/Mental Requirements

Understanding of supply companies

Needs minimal supervision, ability to work on own without daily direction.

Able to handle multiple assignments at once and balance priorities.

Specific Position Requirements

Experienced with Engineering vendors and supplies as well purchase order systems, receiving, and invoicing.

Position Responsibilities

• Research companies that sells products, establish account, open credit
• Coordinate with accounting department to make sure vendor information and credit is processed in timely manner
• Establish quotes and negotiate pricing on products
• Populate PO's in online system, place orders, receive, close invoices and distribute accordingly
• Ensure monthly vendors bills are received, coded, approved, and processed
• Review and reconcile vendor statements
• Research parts needed for future projects
• Examine inventory and stock that we are low on and submit orders based on annual budget
• Receive packages from the loading dock on a daily basis
• TV's inventory, expired warranty, schedule repair on defective units
• Miscellaneous inventory (electrical supply, plumbing supply, Kohler, mechanical supply, hardware, batteries, lighting, de-limers, etc.) that is required in order to prevent down time in hotel, kitchens, and Spa
• Office supplies, make sure we have enough supplies stocked and restock accordingly
• Assist Kitchen Engineer in researching parts, equipment diagrams, and scheduling service
• occasionally schedule service, repairs, new installs.
• Coordinate occasional room blocking with front desk, and monitor room check outs for Engineer inspection.
• Assist Director of Engineering, Chief Engineer, and Assistant Chief Engineers with special projects and requests.
• Assist Director of Finance with projects and requests upon request.
