Job summary

Willdan Energy Company is seeking a Service Install Administrator to join the Los Angeles area team. You will support the service and install program, coordinate with customers and subcontractors, and ensure smooth project progression from engagement to completion.

The role requires strong organization, data entry, and communication skills, with familiarity in tracking systems and MS Office. Some travel (up to 10%) may be required in a fast-paced energy-efficiency environment.

Qualifications

• High School Diploma required.
• Associates degree or better preferred.
• Multilingual not required but preferred.
• Knowledge of lighting equipment preferred.
• Must be highly organized, detail oriented, and results driven.
• Ability to communicate effectively, both verbally and in writing with customers, clients and employees.
• Strong data entry skills in tracking systems/databases.
• Ability to prioritize multiple projects and tasks to ensure timely delivery of high-quality deliverables.
• Demonstrated ability to collaborate with a wide range of stakeholders while delivering excellent customer service.

Responsibilities

• Support program team with daily operations and provide administrative support for ESRs and Field Coordinators.
• Perform quality control reviews on project documentation prior to customer submittal.
• Verify customers' eligibility for program participation.
• Assist with Union Auditor assignments and scheduling appointments.
• Review project budgets to ensure they are within program limits.
• Assist with preparing project packages for submission to the client.
• Assist with scheduling customer appointments and managing requests.
• Produce accurate weekly reporting based on program activities.
• Create projects and issue documents to subcontractors/vendors.
• Create change orders and transmit docs to the field for signatures.
• Communicate material and project delays to contractors.
• Ensure KPI compliance on the program’s project tracker report.
• Finalize projects in the system of record upon completion.
• Respond to customer inquiries about participation, installation updates, and warranty needs.
• Travel up to 10% may be required.
