ROLE DESCRIPTION
Program Coordination
  • Coordinate and support the delivery of educational programs, workshops, webinars, and training events.
  • Assist with scheduling instructors, venues, virtual platforms, and participant registrations.
  • Maintain education calendars and communicate upcoming training opportunities.
  • Prepare course materials, handouts, evaluations, and participant communications.
Continuing Education (CE) Management
  • Support the administration of CE-accredited programs in accordance with applicable accrediting standards.
  • Track attendance, evaluations, and completion requirements for CE participants.
  • Maintain CE records and prepare documentation required for audits and reporting.
  • Assist with issuing certificates of completion and CE credits.
  • Coordinate and facilitate virtual classes using learning management systems (LMS) and video conferencing platforms.
  • Provide technical assistance to instructors and participants before and during virtual events.
  • Monitor online engagement and participation metrics.
In-Person Training Support
  • Assist with classroom setup, registration, audiovisual equipment, materials distribution, and event logistics.
  • Coordinate vendor, facility, and catering needs when required.
Administrative Responsibilities
  • Maintain participant databases and training records.
  • Process registrations, invoices, and program-related documentation.
  • Generate reports on attendance, completion rates, and course effectiveness.
  • Respond to participant inquiries in a professional and timely manner.
  • Support continuous improvement initiatives for educational offerings.
  • Collaborate with Media and Marketing team to develop and execute promotional campaigns for educational programs and events, including pre-event communications and post-event recaps distributed through Mailchimp, social media, and other communication channels.
QUALIFICATIONS
Required Education
  • Associate or Bachelor’s degree in business administration, communications, organizational management is preferred, or equivalent professional experience; or
  • Equivalent combination of education and relevant experience from the Preferred Experience listed below.
Preferred Education
  • Bachelor's degree in Education, Training & Development, Organizational Development, Association Administration, Business, or related field.
Preferred Experience
  • 0–2 years of experience in education, training coordination, event planning, customer service, association or program education, or administrative support.
  • Internship or volunteer experience in training or educational settings.
  • Previous administrative or office experience in a professional environment.
  • Experience coordinating meetings, schedules, travel, projects, or events.
  • Interest in association management, nonprofit organizations, governance, business operations, or executive administration.
  • Relevant education, internships, volunteer leadership, or other experience may be considered in place of some professional experience.

Technology and Tools

Proficiency with Microsoft Office or comparable communication or productivity tools, and demonstrated ability to periodically work with email marketing, social media, and website content management. Experience with project management or task organization tools such as Asana is preferred.

Physical Demands and Work Environment

Travel and Schedule Requirements

The employee is expected to organize work, manage competing priorities, recommend solutions, anticipate the needs of all staff or departments, coordinate stakeholders, and assist with projects through completion while keeping the supervisor and relevant partners appropriately informed.
