Job summary

Apscareerportal is seeking an experienced Program Coordinator to plan, coordinate, and execute in-person and virtual learning programs in the Addison, TX area. You will deliver a professional learner experience, manage registration, and coordinate speakers, sponsors, and volunteers.

Responsibilities include creating timelines, tracking budgets, ensuring compliance with CPD requirements, and continuously improving event processes.

Qualifications

  • Three years of related experience in event planning, meeting coordination, program administration, or a related role.
  • Demonstrated ability to manage multiple programs, projects, deadlines and competing priorities with high accuracy.

  • Advanced computer skills, including Microsoft Office and learning platforms.

Responsibilities

  • Coordinate program logistics from planning through execution and post-event reconciliation.
  • Coordinate with venues, speakers, vendors, sponsors, volunteers and internal staff.
  • Develop and maintain detailed event timelines, schedules, room specs and speaker info.
  • Track multiple programs and deadlines, identify outstanding items and follow through.
  • Serve as day-of logistics contact, troubleshooting issues for attendees, speakers and volunteers.
  • Coordinate speaker logistics including agreements, bios, materials and learning objectives.
  • Ensure accurate program data across registration, learning and event platforms.
  • Support CPD requirements, including attendance docs, evaluations and certificates.
  • Review invoices, track expenses and assist with budgets.

PRIMARY FUNCTION:

Coordinate the planning, logistics, administration and execution of in-person and virtual learning programs to ensure programs are delivered accurately, efficiently and professionally and provide an exceptional experience for learners, members, speakers, sponsors and volunteers.

SPECIFIC RESPONSIBILITIES:
  • Manage program logistics from initial planning through execution and post-event reconciliation, using established timelines, checklists and procedures to ensure all details are completed accurately and on schedule.
  • Coordinate with venues, speakers, vendors, sponsors, volunteers and internal staff regarding program logistics, deadlines and requirements.
  • Develop and maintain detailed event timelines, production schedules, room specifications, speaker information and other program documentation.
  • Track multiple programs and deadlines simultaneously, proactively identifying outstanding items and following through to completion.
  • Serve as a day-of/program logistics contact, troubleshooting issues and ensuring a professional experience for attendees, speakers and volunteers.
  • Coordinate speaker logistics, including agreements, biographies, presentation materials, session descriptions and learning objectives and other program requirements as applicable.
  • Ensure accurate program information is entered and maintained across registration, learning and event technology platforms.
  • Support compliance with continuing professional education requirements, including attendance documentation, evaluations, certificates and required program records.
  • Review invoices, track program expenses and assist with budget reconciliation.
  • Identify opportunities to improve event processes, checklists and standard operating procedures.
  • Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
  • Three years of related experience in event planning, meeting coordination, program administration, or a related role.
  • Demonstrated ability to manage multiple programs, projects, deadlines and competing priorities simultaneously with a high degree of accuracy.
  • Exceptional attention to detail, organizational skills and follow-through.
  • Strong written and verbal communication and interpersonal skills.
  • Ability to anticipate needs, identify potential issues and independently resolve routine problems.
  • Ability to work effectively both independently and collaboratively in a fast-paced, deadline-driven environment.
  • Strong customer-service orientation and ability to interact professionally with members, speakers, volunteers, vendors and other stakeholders.
  • Advanced computer skills, including proficiency with Microsoft Office Suite and the ability to learn new events and learning technology platforms.
  • Ability to maintain a high degree of professionalism and discretion.
  • Ability to travel overnight approximately 10% and occasionally work evenings or weekends in support of programs.
PREFERRED BACKGROUND:
  • Bachelor’s degree in business, marketing, communications, or a related field.
  • Previous experience working in an association.
  • Experience coordinating conferences, professional education programs, meetings or other multi-faceted events.
  • Association Management System (AMS) experience.
  • Experience with the CPA profession or a similar licensed profession.
