Job description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for an eBilling Specialist based in the United States.

We are seeking a detail-oriented eBilling Specialist to support electronic billing operations within a fast-paced, professional legal services environment. In this role, you will oversee the full electronic billing lifecycle, from client onboarding and invoice submission to issue resolution and payment recovery. You will collaborate with attorneys, billing professionals, local offices, and client representatives to ensure accurate, timely, and compliant billing processes. Your analytical skills will help identify recurring issues, optimize workflows, and minimize invoice rejections. You will also maintain client billing requirements, manage budgets and accruals, and monitor billing performance through reporting and analysis. This remote opportunity is ideal for a proactive professional who enjoys solving complex billing challenges, managing competing priorities, and contributing to operational excellence.

Accountabilities
  • Manage the implementation and onboarding of new clients on electronic billing platforms, including account setup, billing data mapping, and ongoing maintenance of client information within eBilling systems.
  • Prepare and submit electronic invoices accurately and on time, ensuring compliance with client-specific billing guidelines and submission requirements.
  • Monitor invoice status and manage rejections, reductions, appeals, and discrepancies to maximize billing recovery and minimize delays.
  • Investigate recurring invoice rejections, analyze rejection codes, identify root causes, and implement corrective measures to prevent future issues.
  • Collaborate with attorneys, legal assistants, billing teams, local offices, and client representatives to resolve billing issues and maintain efficient workflows.
  • Maintain client billing rules, vendor portal configurations, and timekeeper approval records across third-party platforms.
  • Submit client-required budgets and accruals through designated vendor systems and ensure all relevant information remains accurate and up to date.
  • Generate and review billing reports to track invoice submissions, outstanding balances, rejection trends, and client-specific requirements.
  • Provide guidance and procedural support to internal stakeholders on electronic billing processes, client guidelines, and system requirements.
  • Ensure compliance with internal policies, client standards, and applicable billing procedures while contributing to continuous process improvement.
  • Attend onsite training sessions, work overtime, and travel for business purposes when required.
Requirements
  • At least 2 years of experience in legal billing or electronic billing, preferably within a law firm or professional services environment.
  • A bachelor's degree is preferred, although equivalent relevant professional experience may be considered.
  • Demonstrated experience using third-party electronic billing platforms, such as Legal Tracker, BillingPoint, CounselLink, Tymetrix, or comparable systems.
  • Familiarity with Aderant, eBillingHub, and/or Elite is an advantage.
  • Strong understanding of legal electronic billing workflows, client billing guidelines, invoice submission procedures, and rejection management.
  • Proficiency in Windows-based applications and Microsoft Word, Excel, and Outlook.
  • Excellent analytical and problem-solving skills, with the ability to investigate discrepancies, identify root causes, and resolve issues independently.
  • Exceptional attention to detail, organizational skills, and the ability to process a high volume of electronic invoices with minimal supervision.
  • Strong time management and prioritization skills, with the ability to manage multiple transactions, adapt to changing priorities, and meet strict deadlines in a high-pressure environment.
  • Excellent written and verbal communication skills, a professional demeanor, and the ability to collaborate effectively with colleagues and clients.
  • A proactive, self-motivated approach, sound judgment, and a strong commitment to accuracy, accountability, and client service.
  • Basic understanding of artificial intelligence, including its capabilities, limitations, data privacy implications, accuracy requirements, and ethical use in a professional environment.
  • Familiarity with AI tools such as Microsoft Copilot or ChatGPT, or a willingness to learn and use them responsibly to improve productivity where appropriate.
  • An interest in emerging technologies and continuous learning, with the ability to adapt to evolving tools and contribute to a culture of innovation.
  • Ability to work remotely while remaining available for occasional onsite training, business travel, and overtime as needed.
Benefits
  • Competitive compensation aligned with experience, qualifications, and role responsibilities.
  • Comprehensive benefits package designed to support employee well-being and financial security.
  • Remote work arrangement offering flexibility to work from a U.S. location, with occasional onsite attendance or travel as required.
  • Full-time employment within a collaborative, professional, and innovation-oriented environment.
  • Opportunities for professional development through exposure to specialized legal billing systems, evolving technologies, and process improvement initiatives.
