Job summary

Qualifications

  • Submit client invoices through e-billing platforms and ensure compliance with client guidelines.
  • Review invoices for compliance with client billing guidelines, including rate structures, task codes, and expense policies.
  • Monitor invoice status, identify rejections or reductions, and coordinate corrections and resubmissions.
  • Assist Billing Specialists in resolving e-billing issues and troubleshooting errors before escalation.
  • Work with attorneys and legal staff to resolve e-billing issues, ensure correct time entry and narratives in compliance with e-billing guidelines.

Job description

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an E-Billing Administrator to join its Charlotte, NC office. This position manages the firm’s electronic billing (e-billing) processes, including submission of invoices through client billing portals, ensuring compliance with client guidelines, resolving rejections, and maintaining accurate billing records.

What You’ll Do:
Billing Operations & Invoice Management
  • Ensure accurate submission of client invoices through various e-billing platforms (e.g. Legal Tracker, Serengeti, CounselLInk, Tymetrix, and others as defined)
  • Review invoices for compliance with client billing guidelines, including rate structures, task codes, and expense policies.
  • Monitor invoice status, identify rejections or reductions, and coordinate corrections and resubmissions.
  • Assist Billing Specialists in resolving e-billing issues and troubleshooting errors before escalation.
  • Work with attorneys and legal staff to resolve e-billing issues, ensure correct time entry and narratives in compliance with e-billing guidelines.
Client Compliance & Rate Management
  • Maintain and update e-billing systems, client-specific billing rules as needed.
  • Monitor client invoice rejections and disputes, working with billing specialists, attorneys and management to resolve issues promptly.
  • Assist with appeals or rejected or reduced invoices.
Coordination & Support
  • Monitor e-billing workflow and assist Billing Specialists to ensure timely invoice processing.
  • Train Billing Specialists on billing policies, procedures, and best practices related to their daily responsibilities.
  • Respond to billing-related inquiries from attorneys, legal assistants, and clients in a professional and timely manner.
  • Act as a liaison with client billing vendors and resolve technical or system-related issues.
What We’re Looking For:
  • Associate’s degree in business/accounting or equivalent work experience; bachelor’s degree preferred.
  • 2-5 years of experience in legal billing or e-billing, accounting, or finance, preferably in a law firm or professional services firm.
  • Proficiency with legal billing software (Elite, Aderant, BillBlast, or similar platforms) preferred.
