Job summary

Oxbow Pool and Landscape Contractors in Napa, CA is seeking a Project Coordinator to support our project management and pre-construction teams on high-end residential landscape and pool projects across the Bay Area. You will handle documentation, proposals, contracts, permits, RFIs, change orders, procurement, scheduling, billing, and closeout, coordinating with clients, vendors, and field teams.

Qualifications

• Associates degree preferred; relevant construction experience may substitute.
• Strong organizational and time-management skills.
• Excellent verbal and written communication abilities.
• Proficiency with Microsoft Office (Outlook, Word, Excel, Teams) preferred.
• Experience with construction workflows, permits, RFIs and change orders preferred.

Responsibilities

• Provide administrative support to Project Managers, Pre-Construction and field teams.
• Assist with proposals, bids, contracts, and client correspondence.
• Coordinate startup documentation and handoff meetings.
• Maintain project files and documentation in company systems.
• Track permits, RFIs, submittals, change orders and closeout docs.
• Schedule meetings, site visits, inspections and project-related appointments.
• Prepare meeting minutes and action-item follow-ups.
• Communicate professionally with clients, vendors and subcontractors.
• Assist with procurement, material tracking, and vendor coordination.
• Monitor project schedules and milestones.
