Job summary

Westchester Medical Center Health Network seeks an Event Coordinator to support the Development Office in planning and executing fundraising and stewardship events across the network. You will aid with logistics, communications, and production for galas, golf tournaments, walks, and cultivation activities.

Reporting to the Manager, Special Events, you will coordinate event components, manage donor and sponsor relations, and help maintain accurate event records while delivering outstanding donor

Qualifications

• 1–3 years of experience in event coordination or related field.
• Experience in nonprofit environment is required.
• High School Diploma or Equivalent required; Bachelor's degree preferred.

Responsibilities

• Assist the Manager, Special Events with fundraising, cultivation, and stewardship events.
• Provide administrative and logistical support for timelines, checklists, seating, auctions, and event-day coordination.
• Communicate with vendors to secure proposals, confirm details, contracts, and track invoices.
• Maintain donor history, guest attendance, and sponsorship records in Salesforce and other databases.
• Collaborate with Marketing and Development staff to create event materials such as invitations, programs, signage, and emails.
• Support recruitment, training, and coordination of event volunteers.
• Prepare solicitation lists and sponsorship outreach in partnership with the development team.
• Assist with donor and sponsor stewardship, including acknowledgments and reporting.
• Provide on-site event support, including setup, registration, and guest relations.
