Job summary

UT Health San Antonio is seeking a donor relations events coordinator to assist with logistics, planning and execution of promotions, special events and committee meetings on site in San Antonio.

You will plan galas, luncheons, donor meetings and receptions, coordinate facilities, equipment and guest lists, work with volunteers and vendors, manage registrations and budgets, and help expand engagement through communications and Raiser's Edge software.

Qualifications

• Five (5) years related experience is required.
• Ability to develop, plan, execute, and manage donor related special events.
• Superior writing, editing and research skills.
• Maintain strict confidentiality.
• Strong interpersonal skills and ability to interface professionally with administration, faculty, students, alumni, volunteers and community.
• Skilled in fundraising and special events.
• Proficiency with Microsoft Office Suite including Word, Outlook, Excel and PowerPoint and Raiser's Edge fundraising software.

Responsibilities

• Plans and organizes strategic development events and fundraisers including galas, donor meetings, luncheons and receptions.
• Provides assistance with set up of facilities, equipment, supplies and prizes for assigned events.
• Collaborates with other staff on design and implementation of mobile apps/social media to promote event(s). Develops and designs invitations, creates guest lists, coordinates internal and external services and greets visitors.
• Maintains and coordinates registration to include registrant documentation.
• Assists with set up in management software and updates/maintains database as needed.
• Work closely with Director to build and maintain relationships with committee volunteers, corporate partners, foundations and vendors.
• Analyze, develop, and manage budgets and trending plans for annual donor, alumni and community relations events.
• Monitoring and responding to conference emails.
• Performs all other duties as assigned.
