The First National Bank Of Williamson is seeking a Document Scanning Assistant to help transition paper records to a secure digital system. You will scan, index, and organize documents for fast retrieval and regulatory compliance, supporting multiple departments and customer service.
Your duties include preparing documents, operating scanning equipment, ensuring accuracy, and aiding in workflow automation initiatives to improve efficiency.
The Document Scanning Assistant is responsible for preparing, scanning, and organizing physical documents into the bank's electronic document management system. This role supports the bank's transition from paper-based processes to a secure digital environment by ensuring documents are accurately scanned, indexed, and readily accessible for business operations, regulatory compliance, and customer service. Working closely with all departments, the Document Scanning Assistant helps maintain organized electronic records while supporting the bank's commitment to operational efficiency and modernization.
Review documents for clarity and legibility; remove staples, paper clips, and other bindings; repair minor damage before scanning
Organize and classify electronic records according to established document retention and filing standards.
Assist departments in converting historical paper files into electronic records.
Operate scanning equipment (flatbed, straight-feed, planetary) to produce accurate, high-resolution digital images
Maintain confidentiality and security of customer and bank information throughout the scanning process.
Assist with records retention, destruction schedules, and document storage procedures in accordance with bank policies.
Maintain scanning equipment and coordinate maintenance or service requests as needed.
Support process improvement initiatives related to document imaging and workflow automation.
Perform other duties as assigned.
High school diploma or equivalent required.
Previous administrative, records management, document imaging, or banking experience preferred.
Basic computer proficiency, including Microsoft Office applications.
Experience working with document management or imaging software is preferred but not required.
Ability to maintain accuracy while processing large volumes of documents.
Exceptional attention to detail and organizational skills.
Ability to manage repetitive tasks while maintaining a high level of accuracy.
Strong time management and productivity skills.
Ability to handle confidential information with discretion and professionalism.
