Armand Corporation, an award-winning M/WBE Construction Management firm celebrating over 34 years in the industry, is seeking a full-timeDocument Control Specialist in all disciplines for a federal construction project related to complex rail, transit, and other transportation projects in NY & NJ.
The ideal candidate has at least 5 years of experience working with railway and transit construction projects, as well as a Bachelor’s degree in a field relating to Construction, Architecture, or Engineering.
This position will be full-time, on-site, and will report to our Newark, NJ location.
Responsibilities
- Assist project managers and team members with administrative tasks including document preparation, report generation, data entry, and correspondence.
- Coordinate meetings, appointments, and travel arrangements for project staff visiting teams and stakeholders.
- Maintain project files, records, and databases ensuring accurate and efficient documentation of project activities.
- Manage incoming and outgoing project correspondence, emails, and phone calls, directing inquiries to the appropriate personnel.
- Support procurement activities including purchase orders, invoices, and vendor coordination.
- Assist in organizing project events, team building activities, and office functions to foster a positive work environment.
- Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow.
- Other related duties and tasks as required.
Qualifications
- High school diploma or equivalent; additional certification in Office Administration or related field is a plus.
- Proven experience as an Administrative Assistant, Office Administrator, Document Controls Specialist, or similar role, preferably in a construction or engineering environment.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management, and office software.
- Strong organizational skills, attention to detail, and ability to multitask effectively in a fast-paced environment.
- Excellent communication, interpersonal, and teamwork abilities.
- Ability to maintain confidentiality, handle sensitive information, and prioritize tasks efficiently.
- Ability to pass a TWIC and/or SWAC Background Check at High Level.
- Valid driver’s license may be required depending on site location.
- Strong written and verbal communication skills.
- Must be authorized to work in the United States.
- Must be fluent in English (both written and spoken).
