Job summary

E2 Consulting Engineers, Inc. seeks a Document Control Specialist in Los Angeles to support project managers and staff by organizing and maintaining comprehensive project documentation from early planning through construction.

The ideal candidate will be proficient with Office 365 and SharePoint Online, possess strong writing skills, and be capable of balancing multiple priorities while traveling to Southern California sites as needed.

Qualifications

  • Proficient in Office 365 and document management systems such as SharePoint Online.
  • Experience reporting to Document Control Lead and project/program managers.
  • 0-4 years with a related degree, or 4-6 years without a degree.
  • Good writing skills and ability to follow established standards.
  • Willingness to travel to job sites around Southern California as needed.
  • Knowledge of SAP is desirable.
  • Ability to balance multiple priorities.

Responsibilities

  • Assist Project Manager by maintaining project logs and records.
  • Monitor engineering and design efforts of the project team.
  • Support disciplines in resolving issues to keep schedule.
  • Create and update program and project team documents.
  • Track and verify project deliverables.
  • Assist with design, materials and permits expediting to stay on schedule.
  • Coordinate project meetings, agendas, minutes and action items.
  • Track document revisions and distribution.
  • Communicate timely with clients and stakeholders.
  • Ensure proper record coding and retention per company policies.
  • Daily document management: naming, tagging and enforcing protocols.
  • Create project reports and analyze delays and processes.
  • Support change management processes and systems.
  • Assist with budget, cost tracking, and invoicing validation.

Overview

The Document Specialist works in support of the Project Manager and project staff to get projects into construction and to ensure an accurate and complete documentation for the entire duration of the projects. General Responsibilities and Qualifications could apply to all or some levels. Document Specialist shall provide program management and project/program document management services to support planning, design, construction stages and other related activities and to facilitate, coordinate and manage the document management system (DMS) host of the projects with respect to timely performance in accordance with the requirements of the projects and monitor the quality of services and workmanship.

Responsibilities
  • Assist the Project Manager in maintaining project logs and records to include critical action item list, etc.
  • Monitor the engineering and design efforts of the project team
  • Support disciplines in resolving issues in a timely fashion that supports the project schedule
  • Create and update program and project team documents and subsequent versions
  • Support in tracking and verifying project and organizational deliverables
  • Applies knowledge and skills toward the resolution of problems and the development of sound recommendations
  • Assist with tracking and expediting of designs, materials and permits to help ensure projects get into construction on schedule
  • Assist with project meetings, drafting of agendas, record meetings minutes, track action items and assist to ensure completion of tasks
  • Track and coordinating document revisions and distribution
  • Communicate timely and effectively with clients and stakeholders
  • Focus on record coding and retention accuracy to certify proper handling of important files, documents, and forms per company policies
  • Perform daily document management tasks such as naming and tagging documents, enforcing document management protocols
  • Create summary and detailed project reports for management and project team members including analysis any delays, Outstanding process and procedures
  • Support project management team to maintain timely and effective change management process, procedures, and systems
  • Provides support in areas of budget, cost tracking, and labor hours, tracking procurement of goods and services, validation and reconciliation of invoices and payments
  • Assisting PM with daily routine tasks, developing presentations, maintaining project documentation
  • Occasionally travel to the field for project throughout SoCal area
Qualifications
  • Proficient in Office 365 and Document management system such as SharePoint Online
  • Experience working under a direction of Document Control Lead and project/program managers, and business unit managers or their appointees
  • Minimum of 0-4 years of direct or relevant experience with a related degree, or 4-6 years direct or relevant experience without a degree
  • Must have good writing skills, and the ability to follow established standards
  • Must be willing to travel to job sites around Southern California as needed
  • Knowledge of SAP is desirable
  • Must have the ability to balance multiple priorities

Preferred Qualifications:

  • Bachelor's degree in engineering is preferred
  • Gas/utilities/pipeline experience preferred

Wage Data Per State Requirements

Salary range for this position is $34 - $40. The starting salary will be commensurate with skill, education, experience, and working environment.

  • Occasionally travel to the field for project in SoCal areas
