Job summary

W-Industries is seeking a Document Control Assistant to support Project Managers, Engineers, and Shipping with daily project documentation tasks. Responsibilities include pulling, sorting, scanning, renaming, and filing quality documents, maintaining revision histories, and generating reports.

The role requires 1–2 years in document control and a High School Diploma or GED. Proficiency in Microsoft Office and SharePoint is essential, with preferred experience in Bluebeam REVU.

  • High School Diploma or GED (Required).

Responsibilities

  • Pull all supplied Quality Documentation from the Shipping and Receiving Department Daily.
  • Sort documents by PO #.
  • Scan documentation onto the network and organize by PO and material.
  • Rename PDFs according to PO and document type, and file into Job folders.
  • Maintain revision history and run status reports on documents.
  • Assist in building databooks and transmittals; support New Project Set up.

Description

The Primary Role of this position is to work with Project Managers, Project Engineers and Shipping to provide support with daily activities during different phases of the project execution, including but not limited to maintaining Project Documentation, updating the Project MDR, providing support with Quality Documents and Project specific documentation, Project updates and provide support during projects lifecycle, the role requires continues interaction between the Project Teams Daily.

Requirements
  • Pull all supplied Quality Documentation from the Shipping and Receiving Department Daily.
  • Sort documents accordingly by PO #
  • Scan All Documentation onto W-Ind Network.
  • Break apart all documentation into PO specifics
  • Rename each PDF document according to PO and material called out on the type of document received.
  • Move each fill into the perspective Quality folder for each Job #
  • File all documentation into the Job folders.
  • Follow up with internal stakeholder requestors for quality documents
  • Assist with business unit projects as needed
  • Assist in pulling documentation for MRB Databook.
  • Help with building Databooks and or Printing
  • Assist in New Project Set up
  • Work with PM, Engineers, and Major Stakeholders to complete the Final MDR of the Projects.
  • Help maintaining revision history
  • Running reports on document status
  • Assist in building Transmittals
  • Assist in creating Cover Sheets or Merges
  • Assist on incoming transmittals
  • Other relevant duties as assigned by the manager.
  • Work with PM, Engineers, and Major Stakeholders to complete the Final MDR of the Projects.
  • Provide support to update the project’s system of records.
  • Other relevant duties as assigned by the manager.
Required Skills & Competencies
  • Familiarity with Microsoft office suite and use of SharePoint for document and file management.
  • Experience with the creation and management of PDF file format.
  • Experience with Bluebeam REVU Preferred.
  • Good organizations skills and ability to work in a team.
  • Ability to be flexible with and help establish new work processes and procedures for the management of documents across various projects.
  • Strong written and verbal communication skills. Proficient with email communications.
  • Ability to communicate effectively and clearly with personnel, designers, engineers, management, customers.
  • Strong time management skills with the ability to handle multiple projects and customers, balancing customer needs and requests with production and delivery availability.
  • Complex problem-solving skills
  • Experience dealing with cultural diversity of a global business environment.
  • Self-motivated, works well independently and in a team setting under time constraints
Required Experience & Education
  • 1-2 years of working experience within Document Control Required.
  • High School Diploma or General Education Degree (GED) Required.
Physical Requirements
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
