Qualifications

  • Five years of document control, quality administration, or similar experience in a regulated manufacturing environment.
  • Familiarity with ISO 9001, AS9100, or similar QMS requirements.
  • Experience with document lifecycle controls, revision management, and audit-ready recordkeeping.

Responsibilities

  • Maintain the configuration management and document control system across multiple facilities, ensuring documents are current, accurate, and accessible.
  • Administer the engineering change control process, including routing, approvals, revision release, and implementation verification.
  • Control internal and external documents, including procedures, work instructions, drawings, and supplier documentation.
  • Review submissions for completeness, correct formatting, approvals, dates, and revision history before release.
  • Maintain master document lists, distribution records, and change logs; archive obsolete documents to prevent misuse.
  • Track and maintain nonconforming material records in FileMaker Pro.
  • Manage CAPAs, SCARs, RMAs, and customer complaints records.
  • Post current customer drawings and specs to work-in-process files, verifying revision.

This position reports to the Quality Director and works closely with personnel across SemiGen to ensure controlled information and quality records are accurate, current, secure, traceable, and readily available.

Key Responsibilities
  • Maintain the configuration management and document control system across multiple facilities, ensuring controlled documents are current, accurate, approved, and available at the point of use.
  • Administer the engineering change control process, including document routing, approval tracking, revision release, distribution, and implementation verification.
  • Control internal and external documents, including procedures, work instructions, forms, drawings, specifications, standards, customer requirements, and supplier documentation.
  • Review document submissions for completeness, correct formatting, required approvals, effective dates, revision history, and compliance with established procedures before release.
  • Maintain master document lists, revision status, distribution records, and document‑change logs; promptly remove, archive, or clearly identify obsolete documents to prevent unintended use.
  • Maintain nonconforming material records and logs in FileMaker Pro (FMP), ensuring entries are complete, traceable, and retained in accordance with established requirements.
  • Assign, track, and maintain records for corrective and preventive actions (CAPAs), supplier corrective actions (SCARs), returned material authorizations (RMAs), and customer complaints.
  • Post current customer drawings, specifications, and related documentation to work‑in‑process files for production use, verifying the correct revision before release.
  • Maintain customer specification files in FMP and monitor customer or industry portals for applicable document revisions when assigned.
  • Scan, index, upload, and archive applicable documents in the DocStar/Eclipse database using consistent metadata and naming conventions for reliable retrieval.
  • Monitor and maintain the employee training database, coordinate training assignments generated by document revisions, and follow up on overdue acknowledgments or qualifications.
  • Maintain export‑compliance visitor logs and protect controlled, proprietary, export‑controlled, and confidential information in accordance with access requirements.
  • Manage records retention, archival, retrieval, and disposition in accordance with company, customer, contractual, and regulatory retention requirements.
  • Communicate document releases and changes to affected personnel and confirm that required documents and training are in place before implementation.
  • Maintain document‑control metrics and status reports, including open changes, overdue approvals, training completion, and record‑retrieval performance, as requested.
  • Support continuous improvement of document‑control workflows, templates, naming conventions, and electronic systems to strengthen efficiency, accuracy, and traceability.
  • Ensure records remain legible, identifiable, retrievable, secure, and protected from unauthorized alteration, loss, or deterioration.
Requirements
Qualifications and Skills
  • High school diploma or equivalent required; associate degree or additional training in quality, business administration, records management, or a related field preferred.
  • Five years of document control, quality administration, configuration management, or comparable office experience in a regulated manufacturing environment preferred.
  • Working knowledge of document lifecycle controls, revision management, records retention, approval workflows, and audit‑ready recordkeeping.
  • Familiarity with ISO 9001, AS9100, or comparable Quality Management System requirements preferred.
  • Proficiency with Microsoft Word and Excel; experience with Access or other databases and electronic document‑management systems.
  • Experience with FileMaker Pro, DocStar/Eclipse, ERP/MRP systems, or comparable business applications preferred.
  • Strong attention to detail, organization, follow‑through, and ability to manage multiple priorities and time‑sensitive releases.
  • Clear written and verbal communication skills and the ability to work effectively with personnel across departments and facilities.
  • Ability to exercise sound judgment and maintain confidentiality when handling customer, employee, proprietary, and export‑controlled information.

This position may involve access to export‑controlled information or technology. Employment is contingent upon the applicant’s ability to meet all applicable U.S. export‑control requirements. Candidates may be required to provide documentation establishing their eligibility to access export‑controlled information as permitted by applicable law.
