We are seeking a detail-oriented and organized Document Control Specialist / Administrative Assistant to join our team. In this pivotal onsite role, you will manage our document filing and archival systems, ensure high-precision data entry, and support overall supplier transparency operations. You will collaborate closely with cross-functional teams, leverage tools like Microsoft Word and Excel to organize vital records, and play an essential part in maintaining operational efficiency across departments.
Responsibilities
- Organize, file, and archive physical and digital documents systematically to ensure easy retrieval.
- Establish and maintain consistent document naming conventions and categorization standards.
- Perform high-accuracy data entry across various internal systems and update supplier information records.
- Monitor supplier transparency processes by maintaining comprehensive records of supplier communications and document approvals.
- Conduct routine document audits to verify compliance with quality standards and company guidelines.
- Create, format, and edit official company documentation using Microsoft Word.
- Utilize Microsoft Excel for data manipulation, formulas, pivot tables, and visual reporting (charts/graphs).
- Collaborate with team members on operational projects and communicate across departments to resolve issues promptly.
- Participate actively in team discussions, sharing workflow insights and continuous improvement feedback.
- Learn and adapt quickly to new software applications, document approval platforms, and digital tools.
Education
- High school diploma or equivalent required.
- Associate or bachelor's degree preferred.
Experience
- Proven experience in document management, data entry, or administrative support.
- Prior experience in Quality Assurance (QA) is a plus.
- Demonstrated proficiency in Microsoft Word and Excel (including formulas and pivot tables).
Additional Information
- Schedule: 100% Onsite role with a strict 8:00 AM CST start time.
- Physical Requirements: Must be able to safely lift 15-20 lbs on a regular basis for filing/archiving, and stand or sit for extended periods.
