Document Control

Document Control Responsibilities:
- Maintain, organize, and control project and company documentation in accordance with established procedures
- Receive, log, track, distribute, and archive incoming and outgoing documents
- Ensure all documents are properly reviewed, approved, and issued prior to distribution
- Maintain document registers, transmittal logs, and revision histories
- Verify document accuracy, completeness, and compliance with company standards
- Control document numbering, filing, retention, and retrieval systems
- Distribute controlled documents to project teams, clients, vendors, and subcontractors as required
- Monitor document revisions and ensure only current versions are in circulation
- Coordinate with engineering, quality, procurement, construction, and project management teams regarding document requirements
- Prepare and process document transmittals, submittals, and turnover packages
- Maintain electronic and hard-copy filing systems
- Support internal and external audits by providing requested documentation
- Ensure document control activities comply with company Quality Management System (QMS) requirements
- Track and report document status, overdue reviews, and approval progress
- Assist with compilation of manufacturing records, quality dossiers, and project closeout documentation
- Protect confidential and sensitive information through proper document handling practices
- Support continuous improvement initiatives related to document management processes
- Perform all other duties as assigned by manager and/or supervisor
Qualifications & Skills
- Experience with document management systems (DMS) and electronic filing systems
- Systems used – Fusion Live, IPIMS, Aconex, Plantsight
- Strong organizational and record-keeping skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint)
- Knowledge of document control procedures, revision control, and records management
- Ability to read and understand engineering drawings, specifications, and technical documents
- Excellent attention to detail and communication skills
- Experience in construction, manufacturing, oil & gas, fabrication, or industrial projects preferred
