Job summary

Ritchie Bros. Financial Services is seeking a Disbursements Specialist to ensure consignments are paid on time and remittance processes are followed. You will audit and approve vehicle sales for US Branches, including Title Centers, to meet settlement SLAs and avoid penalties.

The role involves coordinating with Tax, Legal, Treasury, and Operations to resolve issues, manage vendor payments, and support audits. Hybrid work with 3 days in the office is required.

Qualifications

• 2-4 years of experience in an office environment.
• Proficiency with Microsoft Excel.
• Fluent verbal and written communication skills in English.
• Organized, detail-oriented and able to multi-task in a fast-paced environment.
• Experience with Microsoft Dynamics GP, Five9, and ServiceNow is preferred.
• Experience with ERP systems, Oracle is a plus.
• Strong analytical and problem-solving skills.
• Customer service oriented and responsive.
• Excellent time management to meet deadlines.
• Advanced Excel skills (Macros, Pivot Tables, V-Lookup).
• Hybrid work setting (3 days/week in office).

Responsibilities

• Monitor and communicate issues with open expenses at Branch level to ensure timely closure and SLAs.
• Reconcile and generate expenses and payable vouchers for vendor invoicing (IAA Transport, DMV, external vendors).
• Audit, balance, and prepare remittances to ensure accurate and timely payments (over $20M daily).
• Prepare aging detail to invoice providers on request.
• Organize and collate manual remittances and invoices to mail to providers daily.
• Provide technical assistance for all Branches via ServiceNow and collaborate with multiple departments.
• Communicate with customers inside and outside the organization via phone, email, and chat.
• Assist with IRS audits and other state/federal audits as needed.
• Support Buyer Services with same-day broker requests and refunds.
• Support Controller on expense and check projects to resolve issues at Branch level.
• Assist Treasury with research and reissuing payment requests.
• Collaborate with Sales, Account Managers, Area Managers, RVPs, and Exec Team on special projects.
• Identify and report settlement/system issues to coworkers and BT services.
• Document and maintain up-to-date processes and procedures.
• Participate in system testing or special projects as requested.
