Job Description

General Description: The Director of Strategic Scheduling and Enrollment Analytics serves as the collegewide leader for scheduling coordination, analytics, governance, and strategic support across a large, multi-campus community college with six campuses and 80+ academic programs. The position promotes consistency in scheduling practices and processes, serves as the primary functional lead for the use and application of data-driven scheduling software, and provides data-informed recommendations to support academic planning and enrollment management decisions collegewide.

Duties and Responsibilities: Coordinates campus scheduling staff Develops and maintains collegewide scheduling standards and timelines Monitors process integrity Provides analytical support Advises academic leaders on scheduling and enrollment strategies. Provides Training, Communication, and Process Documentation Supports the development of student-responsive schedules that reflect program requirements, enrollment demand, room capacity, modality needs, course sequencing, and collegewide priorities. Works in tandem with Campus Provosts, Pathway Councils, Division Deans, Associate Deans, the Registrar’s Office, Enrollment Management, Institutional Research, Information Technology, Facilities, Student Services, and other stakeholders to implement strategic scheduling and enrollment-management goals. Make regular requests from employees for updates and input on college decisions and share feedback with supervisors for inclusion in the NOVA Brief.

Special Assignments: May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

KSA Requirements: Knowledge of academic scheduling, enrollment management, classroom utilization, and schedule-of-classes production in a complex higher education environment. Knowledge of community college academic structures, including transfer programs, workforce programs, career studies certificates, stackable credentials, dual enrollment, developmental education, online learning, and multi-campus scheduling. Knowledge of curriculum, catalog, registration, academic calendar, faculty workload, room assignment, and instructional delivery processes. Knowledge of student information systems and scheduling software, such as PeopleSoft/SIS, Banner, Ad Astra, CourseLeaf, Coursedog, 25Live, EMS, Infosilem, Tableau, Power BI, or similar systems. Knowledge of compliance considerations related to credit/contact hours, modality, location, session dates, prerequisites, FERPA, accessibility, financial aid, public-facing student information, and accreditation expectations. Strong project-management skills, including timeline development, milestone tracking, stakeholder coordination, and deadline management. Strong analytical skills, including the ability to interpret enrollment trends, fill rates, waitlists, room utilization, section counts, cancellation patterns, and other scheduling data. Strong written and oral communication skills. Strong facilitation and training skills, including the ability to support users with different levels of technical and procedural expertise. Strong problem-solving skills, including the ability to identify schedule conflicts, system errors, process gaps, and data-quality concerns. Strong spreadsheet, reporting, database, and documentation skills. Skill in making professional presentations about enrollment management, scheduling practices, data, and recommendations. Skill in leading teams, workgroups, and cross-functional projects. Ability to work effectively with students, faculty, staff, deans, associate deans, provosts, senior leaders, and central administrative offices. Ability to interpret data and make data-driven recommendations. Ability to manage multiple tasks simultaneously while maintaining a cohesive team environment. Ability to work both independently and as part of a team. Ability to adapt to changing situations, shifting enrollment patterns, system limitations, and competing deadlines. Ability to balance student access, academic judgment, faculty availability, room capacity, operational constraints, and collegewide consistency. Ability to lead through influence, coordination, transparency, and shared standards.

Minimum Qualifications Experience in academic scheduling, enrollment management, registrar operations, academic affairs administration, curriculum operations, classroom scheduling, and/or closely related higher education administration. Experience analyzing data and making recommendations based on data. Experience preparing reports and presentations. Experience using Microsoft Office, especially Excel. Experience working with student information systems, scheduling software, or other enterprise administrative systems. Experience coordinating projects, setting timelines, and working with multiple stakeholders to meet deadlines. Experience supervising, leading, or coordinating the work of others.
