MHW Search has partnered with a privately held commercial real estate investment firm to identify a Director of Property Management. The firm owns and third-party manages approximately 1.5 million square feet of single-tenant industrial properties and is seeking an experienced professional to oversee property operations, tenant relationships, financial performance, and capital improvements across its portfolio.

Position Overview

The Director of Property Management will be responsible for overseeing the day-to-day operations and financial performance of the firm's industrial portfolio. This individual will serve as the primary point of contact for tenants, oversee third-party vendors and service providers, manage property budgets, and ensure that each asset is operated efficiently and maintained to ownership standards.

The position requires a hands-on, entrepreneurial self-starter who takes an ownership-oriented approach to property management. Following onboarding, this individual must be comfortable setting priorities, solving problems, and managing the portfolio independently without extensive day-to-day direction.

The ideal candidate will have 5-7+ years of commercial property management experience, with industrial experience strongly preferred. The firm welcomes high-potential professionals seeking a long-term opportunity to grow with the platform.

Key Responsibilities
Portfolio & Property Operations
  • Oversee property management operations for approximately 1.5 million square feet of single-tenant industrial assets.
  • Ensure properties are maintained to ownership standards, including building systems, roofs, parking areas, landscaping, utilities, and other property infrastructure.
  • Conduct regular property inspections to identify maintenance needs, operational issues, and opportunities for improvement.
  • Develop and implement preventative maintenance programs to protect asset value and minimize unexpected expenses.
  • Coordinate property repairs, maintenance, and capital improvement projects.
  • Oversee third-party property management vendors, contractors, and service providers, ensuring quality, responsiveness, and cost efficiency.
  • Manage property transitions, including onboarding newly acquired assets and coordinating operational responsibilities during dispositions.
  • Travel to sites about 30-40%
Tenant Relations & Lease Administration
  • Serve as the primary point of contact for tenants, maintaining strong relationships and ensuring timely resolution of property-related issues.
  • Interface with third-party owners
  • Develop a thorough understanding of lease obligations, including landlord and tenant maintenance responsibilities, operating expenses, insurance requirements, and other contractual provisions.
  • Coordinate tenant move-ins, move-outs, inspections, and property turnover.
  • Partner with leasing and asset management teams on lease renewals, tenant retention, and occupancy-related matters.
  • Oversee tenant improvement projects and coordinate with tenants, contractors, and internal stakeholders to ensure successful execution.
  • Monitor tenant compliance with lease obligations and address operational issues as needed.
  • Prepare and manage annual property operating budgets and capital expenditure budgets.
  • Monitor property-level financial performance, including operating expenses, cash flow, and budget-to-actual variances.
  • Review and approve invoices, vendor payments, and property-related expenditures.
  • Oversee rent collections, accounts receivable, and resolution of outstanding tenant balances.
  • Manage operating expense reconciliations and tenant reimbursements in accordance with lease agreements.
  • Identify opportunities to reduce expenses, improve operating efficiency, and maximize net operating income.
  • Prepare regular property management reports for ownership and senior leadership.
  • Serve as the sole owner of the firm’s Yardi property management system, maintaining accurate and current property, tenant, lease, billing, and operating data; proactively identify and correct discrepancies and ensure reliable reporting.
  • Coordinate with accounting and asset management teams to ensure accurate financial reporting and timely resolution of property-level issues.
Capital Projects & Asset Preservation
  • Develop and manage annual and long-term capital improvement plans.
  • Oversee major repairs and capital projects, including roof replacements, paving, HVAC, building systems, and other industrial property improvements.
  • Solicit and evaluate contractor bids, negotiate pricing, and manage project budgets and schedules.
  • Ensure capital projects are completed on time, within budget, and in accordance with ownership expectations.
  • Assist with property-level due diligence for acquisitions and dispositions, including inspections, deferred maintenance assessments, and capital expenditure evaluations.
  • Work closely with ownership to identify opportunities to enhance property value and support long-term investment objectives.
Leadership & Ownership Coordination
  • Serve as the primary property management representative to ownership and senior leadership.
  • Establish and maintain consistent operating procedures, reporting standards, and vendor management practices across the portfolio.
  • Coordinate with asset management, accounting, leasing, and construction teams to execute property-level business plans.
  • Proactively identify operational risks and recommend solutions that protect ownership's interests.
  • Provide strategic recommendations regarding property operations, capital expenditures, tenant relations, and overall portfolio performance.
Qualifications
  • 5-7+ years of commercial property management experience required.
  • Industrial property management experience strongly preferred, particularly with single-tenant industrial, warehouse, distribution, or logistics properties.
  • Demonstrated experience managing a commercial real estate portfolio with responsibility for operations, budgets, tenant relationships, and capital expenditures.
  • Strong understanding of commercial leases, including NNN structures, landlord and tenant obligations, operating expense reimbursements, and lease compliance.
  • Experience preparing and managing operating budgets, capital budgets, financial reports, and variance analyses.
  • Proven ability to oversee capital improvement projects, building maintenance, and third-party contractors.
  • Strong knowledge of commercial building systems, preventative maintenance, and property operations.
  • Ability to manage multiple properties and competing priorities with minimal supervision.
  • Excellent communication, organizational, negotiation, and problem-solving skills.
  • Proficiency in Microsoft Excel and commercial property management software.
  • Bachelor's degree in real estate, business administration, finance, or a related field preferred.
