Job Summary
Department Specific Responsibilities
- Serves as the senior operational and program managementprofessional for the dean's office.
- Responsible for the planning, coordination, and execution ofcomplex administrative and academic initiatives.
- Operates at the Indiana University Program ManagementSpecialist level.
- Applies advanced project management, data analysis, andworkflow optimization to ensure institutional priorities aredelivered on time, within scope, and in alignment with universityand school objectives.
- Functions as the primary operational liaison to the dean'soffice, proactively managing executive workflows, scheduling,information readiness, and decision-support systems.
- Oversees the dean's office's portfolio of work includingaccreditation processes, annual reporting, and cross-unitinitiatives while serving as the front door to the dean'ssuite.
- Operates with a high degree of autonomy and is responsible foraddressing complex, non-routine operational challenges.
- Evaluates multiple variables, balances competing priorities,and develops solutions that have a direct impact on theeffectiveness of the dean's office and the school's strategicobjectives.
- Works of this position directly supports the Dean's leadershipeffectiveness and the successful execution of school-levelpriorities. Decisions and recommendations influence resourceallocation, timeline adherence, and institutional credibility withinternal and external stakeholders.
- Leads and coordinates multiple concurrent programs and projectsof moderate to high complexity in support of the dean's office andschool-level priorities.
- Develops and maintains detailed project plans, timelines,milestones, and dependency tracking for initiatives such asaccreditation cycles, annual reports, and strategicinitiatives.
- Monitors progress, identifies risks, and implements mitigationstrategies to ensure successful completion of projects withinestablished parameters.
- Serves as a central point of coordination across academicunits, administrative offices, and external stakeholders to ensurealignment and timely execution.
- Manages the dean's office's portfolio of administrative andstrategic initiatives, maintaining visibility into priorities,deadlines, and deliverables.
- Designs and maintains systems to track incoming requests,commitments, and action items, ensuring effective triage,accountability, and follow-through.
- Aligns operational work with school and university strategicpriorities, ensuring resources and efforts are focused onmission-critical objectives.
- Provides proactive executive workflow and calendar managementfor the dean's office, moving beyond transactional scheduling tostrategically allocate time based on priorities and impact.
- Ensures all meetings are supported with appropriate agendas,briefing materials, and background information prepared inadvance.
- Anticipates information needs and prepares the Dean's Office toengage effectively with internal and external stakeholders.
- Develops and maintains dashboards, reports, and visualizationsto support executive decision-making related to enrollment, budget,faculty metrics, and operational performance.
- Synthesizes complex data and institutional reports into concisebriefing memos and actionable recommendations.
- Collaborates with school and university data partners to ensureaccuracy, consistency, and appropriate use of data systems.
- Identifies opportunities to streamline administrative processesthrough workflow redesign, automation, and use of enterprisetechnologies.
- Implements tools and systems that improve efficiency,transparency, and consistency across the dean's office.
- Documents processes, institutional knowledge, and decisionhistory to support continuity and operational resilience.
- Serves as a trusted representative of the dean's office,exercising discretion and professionalism in all interactions.
- Facilitates communication among senior leadership, faculty,staff, and external partners to support shared understanding andcoordinated action.
- Prepares written and verbal communications on behalf of thedean's office as assigned.
General Responsibilities
- Manages and administers assigned institutional programs andinitiatives that advance organizational capabilities, strategicpriorities, and university objectives.
- Develops and implements program plans, resources,communications, and operating procedures to support achievement ofprogram goals and consistent delivery of program services.
- Evaluates program performance using qualitative andquantitative data; identifies trends, risks, and improvementopportunities; and recommends solutions to enhance effectivenessand outcomes.
- Exercises independent judgment in interpreting programguidelines, resolving moderately complex issues, and determiningappropriate actions within established program parameters.
- Partners with stakeholders across departments and functionalareas to coordinate program activities, align priorities, andsupport achievement of shared objectives.
- Researches emerging practices, industry trends, andorganizational needs and recommends program enhancements,resources, and approaches that strengthen program impact andeffectiveness.
- Develops reports, presentations, and recommendations tocommunicate program progress, outcomes, risks, and opportunities toleadership and stakeholders.
- Leads or coordinates assigned program initiatives and specialefforts, monitoring implementation progress and recommendingadjustments to improve results.
Qualifications
Combinations of related education and experience may beconsidered. Education beyond the minimum required may besubstituted for work experience. Work experience beyond the minimumrequired may be substituted for education.
EDUCATION
Required
- Bachelor's degree (preferably in business administration,public administration, higher education administration, or relatedfield.)
Preferred
- Master's degree in a related discipline.
WORK EXPERIENCE
Required
- 2 years in related field.
Preferred
- 3 years of experience in program or project management,operations, or administrative leadership roles.
- Experience in higher education administration or a large,complex organization.
- Experience with data visualization, dashboards, and executivereporting tools.
- Familiarity with accreditation processes, strategic planning,or institutional reporting.
- Demonstrated experience with process improvement, workflowautomation, or change management initiatives.

Working Conditions / Demands
This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment. The position involves sedentary work as well as periodsof time moving around an office environment and the campus. Theperson in this role must be able to perform the essential functionswith or without an accommodation.
